The Manager of Operations Support is responsible for several operational aspects of the business which overall supports effective regional operation processes. This role may be responsible in the following functional aspects; audit/compliance, training, start up support and systems capabilities. Will audit facilities to ensure that they are in compliance with the NDC standards of operations, will also oversee the start-up process of new facilities, safety and process improvement, as well as improving existing training program for Distribution Management. This position reports to a Director level position in Distribution Operations.
Essential Duties and Responsibilities:
Operational Procedures
Monitors and ensures compliance in operations, training, security, safety, productivity, administration, customer service and sales.
Audits and reports deficiencies in compliance and ensures timely follow up for corrective measures.
Monitors and assists facilities in correcting operational facilities as needed.
Leads mock facility audits to prepare sites for Annual Facility Audit.
Tracks performance excellence projects and reports and provides updates
to Corporate as needed.
Assists in projects as needed by the Regional Vice Presidents.
Start-Up Processes
Manages and coordinates with customers on start-up operations including inventory, space, manning, equipment, customer service, shipping and receiving volume, packaging identification, pallet stacking / racking guidelines and understanding of rates and ratemaking process.
Assigns start-up project tasks to team members, sets up guidelines, obtains certificates or licenses from local government agencies, coordinates arrangements with realtor including warehouse lease, sets up vendor accounts, office and warehouse equipment.
Coordinates with customer and acts as a liaison to ensure complete transition into operation and that all requirements are met.
Provides training to Facility Managers ensuring that company policies and procedures are being met.
Assists Facility Managers in determining manpower needs for each operation and to monitor and control labor costs in order to meet financial goals.
Establishes a base for productivity and will teach the Facility Manager how to track in order to obtain targets.
Trains Facility Manager on the maintenance of equipment SOPs, the operation of a facility that meets or exceeds AIB and ASI standards on a daily basis, the review of flash reports, production and labor, accounting, payroll and billing approval procedures.
Trains the Facility Manager on proper human resources procedures, including due-diligence on necessary pre-hire paperwork, background checks, dress codes and employee reviews.
Trains Customer Service Representatives on the proper reporting procedures, the operations of NDC computer systems, appointment setting, telephone etiquette, dress codes and the corporate deliverables calendar.
Safety Procedures
Ensures safety and federally administered compliance regulations are enforces for equipment, vehicles, and employees are responsible for implementing safety policies, procedures and training programs.
Trains facility management how to properly report and root cause PITCO and Worker’s Compensation Claims.
Trains individuals to lead safety teams and meetings within each facility.
Reviews investigation reports of safety incidents/accidents, measures data of accident and injury occurrences and reports to region.
Develops and establishes routine around a safety training matrix.
Requirements:
Bachelor’s Degree
At least 5 years’ experience in distribution management
Computer applications using MS Office and networking knowledge
Project Management Skills
Excellent oral and written communications skills
Excellent presentation skills
Excellent supervisory skills
Must be proactive and able to work independently.
Ability to travel at a moment’s notice for perhaps extended periods of time within designated region, up to 75%
Ability and availability to work extended hours including nights, weekends and potentially holidays as needed by the customer.
