Job Title: Purchasing Specialist

Classification: Exempt

Reports To: Purchasing Manager

Essential Job Functions:

  1. Sourcing and Procurement:
    • Identify and evaluate potential suppliers of chemicals and related products.
    • Negotiate prices, terms, and contracts with suppliers to secure favorable terms.
    • Place purchase orders for chemicals and related products based on inventory levels and demand forecasts.
    • Monitor supplier performance and address any issues or concerns that arise.
  1. Inventory Management:
    • Monitor inventory levels of chemicals and related products to ensure adequate stock.
    • Develop and implement inventory management strategies to optimize stock levels and minimize excess inventory.
    • Coordinate with warehouse and logistics teams to ensure timely delivery of products.
    • Conduct regular inventory audits to reconcile physical stock with records.
  1. Supplier Relationship Management:
    • Develop and maintain strong relationships with suppliers to ensure reliable and cost-effective supply of chemicals.
    • Communicate regularly with suppliers to stay updated on market trends, pricing, and product availability.
    • Collaborate with suppliers to identify and implement cost-saving opportunities.
  1. Compliance and Safety:
    • Ensure compliance with all relevant regulations and guidelines related to the procurement and handling of chemicals.
    • Maintain accurate records of all purchases and related documentation for compliance purposes.
    • Coordinate with internal departments, such as Environmental Health and Safety, to ensure compliance with safety regulations.
  1. Cross-Departmental Collaboration:
    • Collaborate with internal departments, such as R&D and Production, to understand their chemical needs and specifications.
    • Coordinate with these departments to develop procurement plans that meet their requirements.
    • Provide support and guidance to internal stakeholders on chemical procurement matters.
    • Work closely with the Receiving team to ensure accurate and timely receipt of purchased items.
  1. Continuous Improvement:
    • Identify areas for process improvement within the procurement function.
    • Develop and implement strategies to improve efficiency, reduce costs, and enhance overall procurement performance.
    • Stay updated on industry trends and best practices in chemical procurement.
  1. Documentation and Reporting:
    • Maintain accurate and up-to-date records of all procurement activities, including purchase orders, invoices, and contracts.
    • Prepare regular reports on procurement performance, including cost savings achieved, supplier performance, and inventory levels.
    • Present these reports to management to inform decision-making.
  1. Training and Development:
    • Stay updated on industry developments and best practices in chemical procurement.
    • Share knowledge and expertise with colleagues to enhance the overall competency of the procurement team.
    • Participate in training and development activities to improve skills and knowledge in procurement.

Skills and Abilities Required:

  • Experience in chemical procurement or related fields.
  • Strong knowledge of chemical products, suppliers, and market trends.
  • Excellent negotiation, communication, and interpersonal skills.
  • Proficiency in purchasing software, MS Office Suite, and other relevant applications.
  • Ability to work independently and collaboratively in a team environment.

Physical Requirements:

  • Sitting for extended periods of time daily.
  • Ability to lift weight above head when required.
