Under the direct supervision of the Registrar, the Registrar Specialist prepares and maintains the data and business processes of the Registrar's Office while maintaining the integrity and security of students' academic records and ensuring compliance with college policies and the Family Educational Rights and Privacy Act (FERPA). The Registrar Specialist supports the Registrar’s Office while Nicolet College implements a new Enterprise Resource Planning (ERP) software, which includes Student Information System (SIS) functionality, by ensuring the continuity and integrity of current Registrar Office business practices, primarily in the existing Student Information System. The length of the term will depend on the implementation of the new software, with a minimum of two years.
EXAMPLE OF DUTIES
Student Information SystemPrepares, enters, and maintains all student data, including but not limited to, student bio/demographics, grades, course enrollments, withdrawals, honors, awards, and student holds.Resolves errors in bio/demographic, instructor, enrollment, program/degree/curriculum and client reporting data.Accurately assigns course fees to scheduled course section offerings. Resolves fee inaccuracies.Assists and processes student registration/enrollment for Senior Audit and Study Abroad.Processes course catalog changes in the student information system.Maintains accurate and up-to-date Academic Program declarations and status in the student information system.Prepares reports as scheduled or requested.Supports ERP transition by maintaining the integrity of registration, enrollment, and scheduling functions in the existing SIS. Registrar Business Processes Organizes the schedule of courses (credit and continuing education, adult basic education) by entering class requests and schedules. Corrects submission errors and ensures accuracy of all schedules.Executes schedule changes and cancellations, and instructor assignment entries in the system.Schedules and reserves classrooms in the student and scheduling information systems.Resolves course audit requests and drop list, registration, and enrollment issues.Processes student notifications, waitlists, course withdrawals, and related refunds. Keeps student transcripts and degree requirements records current by entering course substitutions and credit for prior learning requests into the data system, monitoring incompletes and entering grade changes.Processes digital and hard-copy diplomas and student communications, honors, awards, and certificates of completion for credit and non-credit courses/programs.Processes enrollment and degree verifications.Provides timely and effective assistance to students via phone, email, or in person requests for registrar-related functions.Works collaboratively with the ERP implementation team to identify and implement new or improved functionality in the SIS, and periphery software.Provides back-up assistance with primary tasks of other employees as needed. College Policies and Student Privacy Laws Compliance Monitors recordkeeping and reporting to assist the Registrar in ensuring adherence to College policies and external regulatory requirements. Maintains a thorough knowledge of academic policies and communicates College policies and procedures to students and College employees. Maintains FERPA required confidentiality for all student records while completing Registrar business processes.Knowledge, Skills, and Abilities: Advanced knowledge of working with student information systems and related periphery software (room scheduling, imaging, Microsoft Office, etc.).Advanced knowledge of working with complex data systems.Excellent project management skills.Ability to perform duties with strong attention to detail, high level of accuracy and produce complete and error-free reports.Ability to work in a team environment and establish collegial relationships with employees.Ability to work with and exhibit sensitivity to the diverse populations of community college students.Ability to troubleshoot problems efficiently and effectively.Ability to handle stressful situations in a polite and courteous manner and solve problems and complaints.Ability to communicate clearly and concisely, both orally and in writing.Ability to work independently, maintain project schedules, manage multiple priorities, and work productively despite frequent interruptions.
