Job Description: Real Estate Transaction Manager

Position Overview:
The Real Estate Transaction Coordinator is responsible for managing and overseeing the entire transaction process from contract ratification to closing. This role ensures smooth communication between all parties involved and maintains meticulous records to facilitate efficient and accurate transactions.

Key Responsibilities:

**Oversee Ratified Contracts:**
Ensure all ratified contracts are handled promptly and efficiently, monitoring the progress and addressing any issues that arise.

**Confirm Commission and Split Structure:**
Verify and confirm commission structures and splits with team members, ensuring accurate distribution and documentation.

**Track Contract Sources:**
Confirm the source of each contract and accurately track it in the company's tracking system and CRM database.

**Manage Contingency Deadlines:**
Oversee all contingency deadlines within the contracts, ensuring all parties meet their obligations in a timely manner.

 **Manage MLS Listings:**
Ensure all sales are correctly tracked under the team leader’s ID within the MLS system.

**Client Communication:**
Maintain consistent communication with clients throughout the contract period, always providing clear next steps and updates.

**Lender and Title Company Coordination:**
Send contracts to the lender and title company, ensuring all necessary parties are informed and involved.

**Earnest Money Deposit Coordination:**
Ensure the agent coordinates with the buyer to deposit the earnest money as per the contract.

**Title Company Updates:**
Communicate all updates to the title company throughout the transaction, addressing any issues promptly.

**Problem-Solving:**
Collaborate with the agent and client to resolve any issues that arise during the transaction process.

**HOA and Condo Documents:**
Order and monitor HOA and condo documents on behalf of sellers, sending completed documents to buyers and ensuring any cited violations are resolved before closing. Help clients resolve HOA issues/violations.

**Termite Inspections:**
Schedule termite inspections and any necessary treatments, distributing reports to all relevant parties.

**Utility Information:**
Provide utility contact information to buyers, ensuring they understand when to start utilities in their name and communicating any changes due to delays or changes in the closing date.

**Closing Coordination:**
Schedule closings and communicate all details to clients, ensuring a smooth and organized process.

**Settlement Statement Review:**
Review settlement statements and Closing Disclosures for accuracy, ensuring all financial details are correct.

**Remote Assistant Training:**
Manage and provide ongoing training for the remote assistant to ensure they are up-to-date with procedures and best practices.

**CRM Maintenance:**
Continuously update and maintain the CRM to ensure accurate and current information is always available.

Qualifications:

- Strong understanding of real estate transactions and contract management.
- Excellent organizational and time-management skills.
- Superior communication skills, both written and verbal.
