Noble Casing, Inc. is Hiring a Personal/Executive Assistant to the CEO Near Fort Collins, CO

Description

Summary of Responsibilities: This individual will primarily work out of the corporate office located in Fort Collins, CO. They will be responsible for carrying out the duties and tasks as primarily assigned by the CEO of Noble or his Designee. The tasks will be primarily focused on personal support for the CEO, which will include but not limited to: overseeing construction or home remodeling projects, payment of bills associated with his primary residence or rental properties, negotiating contracts to support personal investments, overseeing renovation of cars, houses, etc.

This person must be highly organized, detail oriented, able to pivot from assignment to assignment quickly, assume 100% accountability for the success or failure of assigned projects, provide timely feedback on a daily or weekly basis as needed, etc. Limited travel may be required to support the above items.

Primary Responsibilities

1. Receive tasks and/or projects from the CEO or his designee on an ongoing basis and develop plans and corresponding schedule the meets or exceeds expectations of the CEO.

2. Identify the necessary 3rd party resources to assist in executing projects. As required, develop the Scope of Work, Deliverables, Timeline, Payment Terms, etc. Some assistance from the corporate office will be available.

3. Create and manage a project tracking system that you will provide and/or review with the CEO or designee on a weekly basis.

4. Create and manage an organized filing system for all projects/tasks and ensure it is updated on an ongoing basis.

5. Assist in the CEO’s travel plans by working with him on his schedule, arranging airfare, hotel, rental car, etc. that aligns with the CEO’s commitments.

6. Manage rental properties which reside in Colorado and in other states.

7. Available to be in the office or running errands Monday through Friday from 8:00 a.m. to 5:00 p.m. in addition to handling calls/issues/situations after hours, weekends and holidays. (i.e., 24-hour support could be required).

Secondary Responsibilities

1. Run personal errands for the CEO as required.

2. Assist with basic administrative tasks within the corporate office (i.e., Finance & Accounting, Sales, etc.).

3. Attend monthly/quarterly/annual Leadership Meetings and take detailed notes and distribute within 24 hours of the meeting.

4. Other duties as assigned.

Requirements

Experience Requirements

• High School Diploma preferred but would consider General Education Degree (GED).

• Minimum of 5 years of experience in a similar position (i.e., Personal or Executive Assistant) with similar duties.

• Minimum of 3 years of experience overseeing renovation projects (i.e., cars, houses, etc.).

• Must be able to travel on a periodic basis to support assigned projects/tasks (i.e., local and/or out of state).

Special Requirements

• Must be 21 years or older.

• Must have a valid driver’s license.

• Must be able to legally work in the United States.

• Must be able to successfully pass Employment & Background Screening criteria.

Supervisory Responsibilities 

• As required based on the task at hand, may need to oversee and/or supervise 3rd party contractor/suppliers/etc. to successfully ensure completion of the task or project.

• This job has no internal supervisory responsibilities.

Travel Requirements

• Approximately 25% of travel may be required from time to time. If a personal vehicle is used, he or she will be reimbursed using current IRS Mileage Reimbursement via submitting a company expense report.

• Will be issued a company credit card of which the individual will use the Navan system for recording expenses.

• Will be responsible to drive your own vehicle, but also occasionally may need to drive a vehicle owned by the CEO or a Company vehicle.

• Dependability - Follows instructions, responds to CEO or Designee direction; takes responsibility for own actions; completes tasks on time or notifies appropriate person with an alternate plan.

• Risk Assessment & Reasoning – Highly proficient in identifying and resolving risks associated with assignments.

Qualifications 

• Must reside in the Northern Colorado/Fort Collins area.

• Must have a flexible schedule to meet ongoing changes with the CEO schedule and priorities.

Education and/or Experience

• Associate’s Degree in Business Administration is desirable.

• Real Estate License is preferred.

• Demonstrated proficiency in Microsoft Office Suite (Outlook, PowerPoint, Word and Excel).

Certificates, Licenses, Registrations

• CPR Certification - Desirable

• First-Aid Certification through Red Cross - Desirable

Language Skills

Effectively communicate with the CEO, his designee, Noble Leadership Team, DM, and Op’s Managers. Ability to effectively present information and respond to questions from groups of employees, managers, customers, and the public as required.

Mathematical Skills

Ability to work with mathematical concepts, and the ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.

Reasoning Ability

Ability to assess and solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions in written or oral form.

Problem Solving - Identifies and resolves problems in a timely manner; gathers and analyzes information skillfully; works well in group problem solving situations; uses reason even when dealing with emotional topics.

Other Skills and Abilities

• Ability to prioritize daily and/or weekly tasks to achieve goals and objectives as committed to the CEO or Designee.

• Remain flexible and able to reprioritize as needed by the CEO or his Designee.
