ACCOUNTING - BILLING CLERK

Nora Lighting relies on our accounting department supervisor to interact professionally with our valued customers, departments managers and associates when they have questions or concerns. We’re looking for a highly skilled billing clerk to join our team and manage phone calls, email requests, and face to face interaction with a friendly, helpful approach. The ideal candidate is a quick learner who can think on their feet and resolve any issues that come up with our customer-first business mentality. He or she is also experienced with purchase orders, invoicing, releases, UPS or FED EX chargebacks, and maintains open communication with the team to ensure all are up to date with changes.

Essential Duties and Responsibilities include, but are not limited to:

o Responsible for billing/invoicing all warehouses from within & consignment warehouses.

o Assists in fulfilling orders of other warehouses when they are unable to fulfill on their end.

o Coordinates and resolves issues with the outside warehouses.

o Monitor and approves the payment of outside warehouses freight or trucking invoices.

o Uploads all shipping document onto NetSuite (will call order, LTL shipment etc. and all relevant documentation that are needed.

o Prepares monthly report for all outside Warehousing Fee.

o Bills customer for any chargeback due to shipping account is invalid, refused charges etc..

o Bills customer for all unforeseen accessorial fees in conjunction with previously shipped orders.

o Approves & provide invoice number on freight bills matching those outside warehouses for payment (Dallas, Tennessee, Ohio, Michigan, Georgia, Minnesota & New Jersey)

o Reviews all Edi invoices were sent at the end of the day or the following day and email those invoices which are errored on NetSuite manually.

o Emails accounts receivables a screenshot of invoice for all credit card orders, salesman samples and invoice that requires email only to customer.

o Responds to customers inquiries or question regarding billing in a professional manner.

o Able to walk in & out of the office to collect shipping documents for invoicing.

o Sends orders for billing to another co-employee who is working remotely.

o Will periodically walk out to the warehouse, therefore follow warehouse safety and PPE processes, policies and guidelines.

o Work as a team within the accounting and billing departments

o Cross train in different areas within the billing department

o Other duties as assigned

Requirements and Qualifications are but not limited to:

o Authorized to work in the US

o 3-year minimum experience Invoicing

o 1-year minimum experience in being point of contact and accounting office environment.

o Ability to lift up to 30 lbs.

o Ability to sit for long periods of time

o Ability to sit in front and work on a PC screen for long periods of time

o Data Entry accuracy

o High attention to detail

o Ability to walk periodically and as needed to the warehouse

o Ability to work in a fast-paced environment and work well under pressure
