JOB PURPOSE:
Under the direction of the Head of the Section, the Administrative Assistant is responsible for helping plan, organize, administer, and manage an assigned school's activities and programs.
The Administrative Assistant will ensure the office runs smoothly and efficiently.
The Administrative Assistant is the primary point of contact for all manners of inquiries and requests.
KEY RESPONSIBILITIES:
  • Monitor and maintain an accurate record of student attendance, producing reports as necessary.
  • Monitor the late arrival of students and contact parents/carers to identify reasons for nonattendance, ensuring all safeguarding procedures are followed. To have sole responsibility for diary management.
  • Monitor and maintain an accurate record of staff attendance, producing reports as necessary.
  • To manage the annual production of the section school calendar and monitor and amend as necessary throughout the school year.
  • To take minutes at meetings and produce reports for distribution to meeting attendees as appropriate.
  • To provide an effective and supportive environment for the Head of Section to carry out their duties.
  • To build effective working relationships with key stakeholders, both internal and external.
  • Acting as a first point of contact: dealing with emails, and phone calls
  • Organizing events and conferences
  • Managing databases and filing systems
  • Implementing and maintaining procedures/administrative systems
  • Collating and filing expenses
  • Updating, reviewing, and drafting policies
  • To field and follow up telephone calls, emails, and correspondence as necessary, including dealing with problems and responding to queries.
  • School supervisory duties as required
  • Read and follow the relevant school policies.
  • Undertake training required to develop in the role.
  • Ensure all duties and responsibilities are undertaken in line with the school’s health and safety policy.
  • Contribute to the safety of children and young people and protect them from harm.
  • Work with due regard to confidentiality and the principles of Data Protection, encouraging others to do the same.
