About The Opportunity:The Assistant Director of Undergraduate Advising supports the Assistant Dean and advising leadership in the management of the Undergraduate Advising office. Collaborate on issues related to undergraduate academic student services and team management in the D’Amore-McKim School of Business. The Assistant Director will assume the role of manager for at least 5 direct reports in the academic advising office. The Assistant Director of Academic Advising will also assist in the implementation and management of advising programs; hiring and training of new staff; preparation of academic policy including but not limited to academic probation and persistence guidelines; distribution of materials to advisors; The Assistant Director will serve as the point person who coordinates all quarterly trainings for staff development. In addition, the Assistant Director will represent D’Amore-McKim School of Business on College and University committees as needed.
Key Responsibilities & Accountabilities:Assist in Day-to-Day Management of Undergraduate Advising
  • Manage a minimum of 5 direct reports in the academic advising positions.
  • Implement strategic advising plans based on assessment and evaluation of specific process/procedure.
  • Help provide day-to-day management of UG area in regards to student flow, dissemination of information, implementation of procedures, etc.
  • Serve as the next level for students and parents who have difficulties that assigned advisors cannot manage related to any area of academic advising responsibilities.
  • Review staff performance daily in order to ensure job requirements are being met in coordination with established benchmarks.
  • Manage the professional development plan for each direct report and ensure that any performance issues are handled efficiently and appropriately with HR intervention, if necessary.
Academic Advising and Advising-Related Activities
  • Interpret and explain academic policies and procedures to direct reports.
  • Collect and analyze data on advising practices and their effectiveness.
  • Lead the Academic probation program for students and oversee the implementation of the program by the academic advising teams.
  • Collaborate with D'Amore-McKim academic advising leadership to manage high-level, time sensitive and most times multi-layered student challenges.
  • Develop and implement advising processes and programs to address the academic, professional and social needs of students.
Manage and Maintain Training and Staff Development Programming
  • Serve as collaborator on staff training and staff development program for all new hires and continuing staff in the Undergraduate Programs office.
  • Coordinate with advising leadership team to create and implement the onboarding/training process from start to completion.
  • Guide advising team members throughout annual training process to ensure all advising and university policies are thoroughly known and understood by all team members.
  • Participate in special projects as assigned by manager.
Minimum Qualifications:We are seeking an experienced energetic individual with strong analytical and supportive management skills. This individual should reflect excellent communication skills with ability to explain processes and systems to users and have:
  • Strong intellectual curiosity and the mental agility to troubleshoot and make sound decisions in response to rapidly changing environment, and often complicated situations.
  • -Effectiveness as a strategic thinker who thrives when working as a member of a dynamic leadership team.
  • A minimum of 4 – 6 years of experience in higher education, preferably in Student or Academic Services.
  • Prior experience in managing a team in a fast-paced environment preferred.
  • Computer skills and knowledge of record ksseeping technology usage and authoring. Ability to identify policy and logistical problems and work with management team to recommend and implement solutions in order to resolve iues.
  • Ability to prioritize and manage multiple tasks efficiently at the same time to address the needs of the office, college departments, faculty, and students.
  • Master’s Degree is required.
