The Data Coordinator is responsible for the leadership, management, process development, documentation and data administration for district's student information system, Child Accounting, and PIMS reporting. The Data Coordinator will collect, organize and report student and staff data for analysis using multiple data sources and data analysis tools and serve as district PIMS Administrator.

2024/2025 Salary Range: $55,295 – $79,540

ESSENTIAL JOB FUNCTIONS:

1. Create accurate documentation for new or significantly changed procedures/ situations with assistance.

2. Implement policies and procedures to assist with PIMS Submissions.

3. Develop reporting deadlines for internal systems and PIMS submissions.

4. Serve as the lead for Data Governance with School District.

5. Occasional travel to relevant professional conferences and meetings outside the district.

6. Collect, audit, monitor and report data and documents in accordance with the Pennsylvania Information Management System (PIMS).

7. Manage the collection of all student and staff data and reporting for PIMS.

8. Assist in the management of the student information system.

9. Train Data Owners on the district student information system and PIMS.

10. Hold yearly professional development sessions with Data Owners to ensure PIMS data is entered correctly into the student information system.

11. Read and interpret PIMS manuals and guidelines concerning data requirements and communicate to district staff.

12. Act as a leader, teacher, facilitator, and information source in the areas of the district's information system and PIMS.

13. Meet deadlines for PIMS submissions to the Pennsylvania Department of Education.

14. Coordinate and verify PIMS data with Data Owners to ensure accurate reporting.

15. Create reports and data mining in SapphireK12 to catch data errors.

16. Upload all student and staff files to and from the district's student information system, HR system, PASecureID, and PIMS systems.

17. Maintain, edit, organize and understand files created and saved in conjunction with the reporting process and schedules.

18. Understand and correctly interpret error reports related to the data movement process between the district and PDE systems.

19. Communicate with District Administration any concerns with PIMS data, including data published to the Future Ready Index.

20. Communicate with PDE representatives, the district information system and within the school district concerning PIMS system changes.

21. Perform other duties as assigned that deal with the areas of the district's information system and PIMS.

22. Interpret PDE guidelines and district policies and regulations as related to federal and state child accounting process.

23. Maintain the child accounting handbook.

24. Attend PDE child accounting meetings (fall and spring) and present updates to district staff.

25. Attend PDE Data Summit and present updates to district staff.

26. Meet with auditors and respond to questions as needed with regard to PDE reports.

27. Maintain district calendars ensuring the minimum instructional day/hour requirements are met.

28. Facilitate annual public and non-public student census.

29. Maintain charter and cyber-charter school enrollments.

30. Audit, process, and pay charter and cyber charter monthly tuition invoices.

31. Track students in statewide placements.

32. Audit, process, and pay monthly tuition invoices of students in statewide placements.

REQUIRED KNOWLEDGE/ SKILLS / ABILITIES

1. Post-secondary degree OR coursework OR an equivalent combination of education and experience.

2. 4 years related data experience (i.e. data analysis, data manipulation, experience with software data analysis tools).

3. Completion of PIMS certification tracks through PDE data quality curriculum or ability to obtain certifications within one year of hire.

4. Excellent written and oral communication skills.

5. Demonstrated organizational skills.

6. Demonstrated knowledge in Excel.

7. Demonstrated knowledge of PIMS/Child Accounting/Data Governance.

8. Demonstrated knowledge of Student Information Systems (SIS) in public education (such as SapphireK12, PowerSchool).

9. Experience and/or knowledge of Pennsylvania School Code and Basic Education Circulars.

10. Demonstrated ability to collaborate with administrators, educators, students, parents and the larger community.

11. Excellent interpersonal skills in a variety of situations.

REQUIRED CLEARANCES

The following clearances must be provided upon hire and updated every five years in accordance with Act 153: PA State Police-Act 34, Child Abuse- Act 151, and FBI Fingerprint-Act 114. Child Abuse training (or proof of completion) in accordance with Act 126 upon hire and repeated every five years thereafter. A negative TB test and physical is required upon hire.
