Pay is depending on experience. Minimum is $65,615.56 annually, $2,523.68 bi-weekly


Position Summary

The Assistant Facilities Manager oversees the purchasing and supply functions, and acts as a lead in planning, designing and executing various projects in support of bank-wide initiatives. Additionally, the position is responsible for the maintenance of Northrim Bank facilities and equipment to include working with Northrim Vendors to schedule repairs, estimates, and planned maintenance. 

The following duties are intended to provide a representative summary of the major duties and responsibilities and ARE NOT intended to serve as a comprehensive list of all duties performed by all employees in this classification. Incumbent(s) may not be required to perform all duties listed and may be required to perform additional duties. 

Essential Duties and Responsibilities

  1. Coordinate maintenance, custodial services, and vendor activities within appropriate timeframes. 
  2. Manage the processes responsible for maintaining and tracking building inspections, preventative maintenance, and repairs.
  3. Act as project coordinator for assigned facility related projects. Coordinate and monitor daily project requirements. Follow-up on communications within the team and with outside vendor resources to maintain workflow.
  4. Manage Fixed Assets and inventory.
  5. Assist with leased and owned properties including tenant notifications and monitoring existing leases. Act as a liaison with tenants of bank properties.
  6. Responsible for buildings quality control. Oversee facility inspections and work areas to eliminate deficiencies and improve facilities.
  7. Review and approve invoices related to Facilities, projects, and purchasing. 
  8. Perform assigned monthly control certification; ensure discrepancies are brought to the attention of management.
  9. Validate, reconcile, and track project and lease related documents. Prepare documents for imaged retention and hard copy filing. 
  10. Respond to emergencies or urgent issues requiring responses outside of regular business hours.
  11. Serve as Facilities representative on the safety committee. Ensure compliance with safety, health and loss control policies and procedures
  12. Assist in annual budgeting process. 
  13. Complete online, written and in-person compliance training within established timeframes.
  14. Other duties as assigned.

Supervisory Responsibilities

  • Assist in carrying out supervisory responsibilities in accordance with the company policies and applicable laws. Responsibilities include scheduling hours, interviewing and training employees; planning, assigning, and directing work; conduct performance evaluation; working with HR to address work related issues. 
  • Ensure employees complete compliance training within established timeframes; understand and implement compliance requirements applicable to their positions.

Qualifications 

Education

  • Bachelor’s degree in a related field. 
  • Four years commensurate professional experience may be substituted for degree.

Experience

  • Three years of related experience.
  • Two years of supervision or management experience preferred. 
  • Related military education/experience may be used as a substitute for education or work experience.

Licenses & Certifications 

  • Valid driver’s license, clean driving record and reliable transportation.

Knowledge & Communication Skills 

  • Ability to read, write, and speak English sufficiently to comprehend, analyze, and effectively communicate internally and with outside vendors.
  • Intermediate knowledge of purchasing terminology, standards, procedures and techniques; inventory control methods and procedures; vendor negotiation and bid evaluation techniques; and purchasing document preparation.
  • Thorough understanding of facilities/property management concepts.
  • Strong organizational skills. Ability to multi-task and triage priority tasks effectively.
  • Excellent time management skills. Able to monitor and meet deadlines.
  • Collaborative working style and team-player attitude.
  • Understanding and knowledge of American with Disabilities Act preferred. 
  • Working knowledge of building mechanical systems preferred
  • Must understand and have the ability to implement applicable compliance requirements.

Analytical & Decision Making Skills 

  • Motivated self-starter with active initiative and strong problem-solving skills, who is able to handle challenging situations without supervision. 
  • Attention to detail and strong analytical skills required for moderately complex and varied tasks.
  • Ability to independently solve problems in accordance with business objectives. Make sound recommendations to management.
  • Ability to read, comprehend, and analyze lease, contract, and building plan documents.

Computer/Software/Other Equipment Skills 

  • Proficient knowledge of MS Office Suite, including Word, Excel, PowerPoint, and Outlook. Ability to operate standard office equipment such as PC, printer, fax/copier, and telephone.

Working Conditions 

  • The noise level in the work environment is usually moderate. 
  • Work is performed in a professional office environment.
