Northshore School District 417 is Hiring an Attendance Secretary - North Creek HS Near Bothell, WA

Job Summary: This position is responsible for entering and maintaining student attendance data, records and related materials; primary contact with parents regarding student attendance; provides secretarial and other support services to students, staff, parents, administrators, and the public; promotes positive public relations for the attendance office, the school, and the district.


DUTIES AND RESPONSIBILITIES

This list of essential functions is not exhaustive and may be supplemented as necessary in consultation with the employee(s) involved. Duties may vary from position-to-position or school-to-school based on the employee(s) specific assignment.

1. Enters, updates, and maintains confidential student attendance data, documentation, and computer records. Maintains an attendance file for each student; prepares and generates the daily absentee report; prepares and generates self-designed custom reports for administrators and staff on ethnicity, migration, NEVAC, Running Start, and part-time students; prepares a monthly census report.

2. Serves as receptionist for attendance office. Greets students, administrators, staff, parents, and visitors entering the attendance office; answers the phone and responds to inquiries; takes messages from parents to deliver to students; programs the automated telephone system for calling parents about unexcused absences.

3. Decides whether attendance excuse notes are valid and genuine. Telephones parents to verify notes that look suspicious and refers forgeries to Assistant Principal for further action.

4. Explains school and district attendance policies to students, parents, staff, representatives from other school districts, and probation officers.

5. Selects, trains, supervises, and recommends grades for student assistants in: telephone skills, filing, use of office equipment, and confidentiality of records and computer data; trains parent volunteers to phone home on unexcused absences.

6. Coordinates parent requests for homework on behalf of absent students. Serves as liaison between parents and teachers for pick-up and delivery of assignments and textbooks.

7. May contact staff to notify them of special student situations; may send out letters of attendance review and Saturday School notification/attendance confirmation; may send out letters to parents when students arrive at 5 or 11 absences; may send out credit appeal notifications at the end of the semester in each class.

8. Enters absence reasons in eSIS; enters changes for student exception schedules each semester; works with assist assistant principals on selected attendance activity to determine if students need to credit appeal; runs year-end profiles on each student for record storage.

9. Records and stores field trip information.

10. Performs related duties consistent with this job description and employee assignment.


REPORTING RELATIONSHIP

Reports to Assistant Principal or designee.


WORKING CONDITIONS

Works in an office environment; frequent interruptions; daily and prolonged exposure to visual display terminal; exposed to high noise levels from student activity and visitors; exposed to students with infectious diseases; occasionally deals with upset parents, students, and staff; may have to sit for prolonged periods of time.


Salary
: Salary is based upon the current NEOPA Salary Schedule (Level F); placement on the salary schedule will be determined by Human Resources DOE. FLSA Non-Exempt.
Work Year: 239 days per year, 8.0 hours per day.

MINIMUM QUALIFICATIONS

Education and Experience

High school graduation or equivalent with two or more years of office experience preferably involving computer and record-keeping skills; experience working with adolescents and the public; school district work experience preferred.

Allowable Substitution

Training in computer skills and record-keeping may substitute on a month-to-month basis for one year of the required experience.

Knowledge, Skills, and Abilities

Knowledge of general secretarial procedures; knowledge of correct grammar, spelling, and English usage; keyboarding skills at 50 words per minute; ability to operate office equipment; good telephone skills; ability to maintain confidential information and records; ability to organize and set priorities; ability to work independently with minimal supervision; ability to coordinate assignments and deadlines from multiple staff members; ability to read, speak, write, and compute effectively; ability to exercise independent judgment, remain flexible, and work effectively under pressure; ability to interact with adolescents and parents in a warm, caring, and confident manner; ability to establish and maintain effective working relationships with staff and the public.

Licenses/Special Requirements

Ability to operate computers and learn specific software programs; ability to operate a 10-key number pad by touch; ability to attend to detail and accuracy; availability to work overtime on a monthly basis to meet deadlines.
