Position Details:The Receptionist is the face of Northwest Academy and develops important supportive relationships with students, parents, teachers, and administrative staff. The Receptionist is responsible for receiving and directing visitors, vendors, students, parents, and teachers to appropriate locations and parties. Notifies personnel of visitor arrival and assists with scheduling and phone calls. The Operations Manager coordinates and communicates facilities and maintenance needs. FTE: 1.0 Position Title: Operations Manager and Receptionist Department: Business Office Reports To: Finance Director Responsibilities:
Answering, assisting, and directing all incoming telephone calls to appropriate parties in a professional and courteous manner
Coordinating and reporting of daily attendance, late arrivals and early student pick ups
Using applicable software programs to create inventories, letters, and other business-related documents
Managing and ordering office supplies
Organize first aid kits for classrooms and retreats
Provide support to other divisional and school-wide personnel on projects that require cross-divisional ?interaction, teamwork, and problem-solving ?
Monitor visitor access and maintain security awareness ?
Provide general administrative and clerical support ?
Control inventory of keys ?
Textbook inventory, ordering, and distribution ?
Order and issue student planners
Manage student medication
Supervision of students during study halls and lunch time
Communication with Janitorial staff
Manage water coolers camps wide
Manage alarm system
Coordinate facilities requests
Providing additional assistance to students, parents, faculty and staff as necessary
Performing other duties as assigned
Qualifications:
5 years of reception experience (or equivalent customer related ability)
Prior administrative office management experience, preferably in a school setting.
Physical Demands:Physical requirements are consistent with light physical duties required of teachers generally, including lifting boxes up to 25 lbs and walking through our dispersed campus (1-2 city blocks). The school is spread out across five buildings, covering multiple blocks in downtown Portland, so teachers and staff may have to move between buildings during five-minute passing periods or attend meetings around campus. The school does not provide parking for staff members, so metered street or lot parking may be needed.
