Salary: $20-$25.00 per hour

Northwest Acute Care Specialists, P.C. (NACS) is an independent emergency medicine and ambulatory care group that contracts exclusively with Legacy Health to provide all of its emergency medicine and urgent care medicine professional services. About half of our providers use scribes to assist them with their medical charting. The scribes are highly motivated premedical students pursuing careers as physicians, physician assistants or nurses. They are recruited mostly from local colleges and universities as well as by word-of-mouth from past scribes and pre-medical advisors. We hire four scribes per month, and they undergo a month-long intensive training regimen, including home study, in-classroom practice, and live one-on-one training with a senior scribe in the emergency departments. The scribes are scheduled to work at multiple hospitals and for all shifts, including swing and overnight shifts. The scribe job is a powerful experience in the clinical arena, learning directly from expert clinicians. All of our scribes have excelled in their future medical training after leaving our program.

J ob Summary

The Scribe Program Administrator is responsible for assisting with the operations of our emergency medicine scribe program. The key responsibilities include recruiting excellent team-oriented candidates and retaining those employees by providing respectful and comprehensive support as they pursue a career in medicine. The Scribe Program Administrator works closely with the Scribe Program Director, fostering a supportive and collaborative environment. This position involves scheduling around 50 scribes on a monthly basis and is extremely important and time-consuming as they have complex scheduling needs.

Essential Job Functions

The information provided below encompasses the typical duties and capabilities linked with this position. The individual in this position is expected to engage in the following work-related activities:

  • Understanding and supporting college students as they transition to a professional medical education.
  • Recruiting college students and postgraduates on a continuous basis.
  • Advertising and liaising with the local college and university premedical programs.
  • Assisting with interviewing, onboarding, and coordinating classroom and clinical site training.
  • Multi-site scheduling.
  • Finding last-minute/short notice shift coverage and changes as needed.
  • In collaboration with payroll, monitor hours worked to ensure wage and hour compliance.
  • Coordinating all social and educational activities.

  • Demonstrate initiative, including proactively identifying and addressing issues and making recommendations for resolution.
  • Maintain basic working knowledge of software programs such as Microsoft Office, including Word and PowerPoint, and advanced working knowledge of Excel, Outlook, and Teams.
  • Strong experience with scheduling software, ShiftAdmin experience a plus.
  • Understand the medical educational and professional process.

Education, Experience, Certifications and/or Licenses

The following are the minimum qualifications for this position:

  • Undergraduate degree or equivalent work experience
  • Two to three years’ experience in a similar position.
  • Ability to work evenings and weekends as needed
  • Ability to travel within the Portland Metro Area as needed.

Work Location 

In-office (Downtown Portland) and/or remote work. This job can be done remotely or in our office as desired. However, the candidate must live in WA or OR and be able to travel within the Portland Metro area as needed.
