Northwest Florida Ballet is Hiring a Front Desk Receptionist Near Fort Walton Beach, FL

Northwest Florida Ballet is seeking a friendly and organized Receptionist to join our team at our evening Community School. As the first point of contact for students, parents, and visitors, you will play a vital role in creating a welcoming environment and ensuring the smooth operation of the school's front desk. The ideal candidate will have excellent customer service skills, a friendly demeanor, and an ability to manage multiple tasks. As the Receptionist, you will manage front desk operations, assist students and parents, and support the administrative team. The start date for this position will be August 1, 2024.

Job Duties:

  • Greet students, parents, and visitors in a warm and professional manner and ensure a welcoming atmosphere.
  • Answer phone calls, open the front door (which remains locked for safety), and handle inquiries about classes, schedules, and events.
  • Maintain clean and organized reception and common spaces - ensure they are tidy and well-maintained.
  • Handle administrative tasks such as filing, photocopying, and data entry. Support the Directors and Administrator with various tasks as assigned.
  • Handle incoming and outgoing mail and packages.
  • Payment Processing: Payments for classes, merchandise, and other services are processed. Accurately handle and record cash, check, and credit transactions.
  • Assist with student registration & class enrollment.
  • Address any issues or concerns raised by students or parents promptly and effectively and direct them to the appropriate manager.
  • Provide general information about the dance school’s programs, policies, and events.
  • Facilitate communication between students, parents, and instructors.
  • Monitor inventory of office and studio supplies as needed.

Qualifications:

  • Experience: Previous experience in a receptionist, administrative, or customer service role preferred. Experience in a dance or arts environment is a bonus.
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Proficiency in Google Workspace and Microsoft Office Suite (Word, Excel).
  • Ability to work independently and as part of a team.
  • Friendly and approachable demeanor with a passion for customer service.
  • Ability to handle sensitive information with discretion.
  • Hours: This position would be Monday through Friday, 1:00 pm to about 7:45 pm, and occasional Saturdays, 8:45 am—12:30 pm, to accommodate class schedules and events. Hours decrease during the summer when school is out.
  • Education: High School Diploma or equivalent.
  • Environment: Fast-paced, dynamic, and creative environment focusing on customer interaction and support.
