JOB DESCRIPTION

Position Title: Representative Support, bilingual a must (RS)

Primary Objective of Position:

Perform the duties necessary to support customers and Representatives at an intermediate and advanced level.

Major Areas of Responsibility:

  • Responsible for all duties specified for Data Entry
  • Responsible for entering all incoming information into sales software system:
  • Order entry
  • Processing New Applicant Details
  • Editing account information
  • Advanced understanding of return policy, returns and re-ships, refunds
  • Payment and Refund Processing
  • Advanced problem resolution skills
  • Knowledge of Policies and Procedures and how they apply and are used in field
  • Understanding of company story
  • Advanced understanding of the duties performed by the Representative support Management and Staff Specialists
  • Understating and ability to use communication protocol effectively
  • Problem resolution skills used to (1) solve problems for those who contact us, and (2) to identify systems problems and offer ideas for resolution
  • Report frequently asked questions to management
  • Reporting system software issues to management
  • Responsible for answering in-bound calls, emails and voicemails to the support center.
  • Provide accurate, prompt and courteous follow up to all inbound messages left in voice-mail and/or e-mails received same day Must be able to compose and deliver professional emails
  • Welcome Calls: Responsible for making outbound calls to new applicants by following Welcome Call guidelines to:
  • Confidentiality
  • Protocol on how to handle calls
  • Protocol on how to handle calls for upper management
  • Representative information that can be given out over the phone is limited to their first and last name and email address.
  • Organization information such as enrollment and placement
  • Orphan protocol
  • Specific product secret information, procedures, or company suppliers and financial information without management approval
  • First-rate attitude and professionalism:

Minimum Qualifications:

  • High school graduate or equivalent
  • Friendly and courteous
  • Flexible in work schedule
  • Accuracy and Speed computer entry
  • Friendly and Optimistic attitude to provide exceptional service
  • Organizational and exceptional follow-through skills
  • Ability to work in a fast-paced office environment
  • Be nice, be caring, be service-minded
  • Willing to grow with fast changes necessitated by company pace
  • Willing to work periodic overtime if workload requires
  • English and Spanish a plus
