ORGANIZATIONAL SUMMARY

The New York City Criminal Justice Agency (CJA) is a not-for-profit service and research organization that operates in partnership with the New York City Mayor’s Office of Criminal Justice. CJA is the City’s main pretrial services agency, combining operations, pilot projects, and research under one roof. CJA utilizes procedural justice practices to provide pretrial services to over 100,000 persons arrested annually in New York City. Information collected about these arrestees and subsequent case processing is maintained in the agency’s internal and externally shared database systems, which are used to conduct descriptive and evaluation research on arrestee characteristics, case processing and court outcomes, and on issues and potential reforms to criminal justice policy in New York City. CJA’s programs operate in the criminal courts and detention facilities 24 hours a day seven days a week within the 5 boroughs of NYC, employing over 280 employees, citywide.

POSITION SUMMARY

Reporting to the Director of Facilities, the Facilities Coordinator will provide general support for daily office and administrative services at the Long Island City/Kew gardens Queens Supervised Release locations. The Facilities Coordinator is an integral part of the Facilities Management Team, which strives to support a well-maintained office infrastructure and to provide the highest quality customer service in a responsive and efficient manner to all employees and stakeholders.

PRIMARY RESPONSIBILITIES

Customer Service and Communication

  • Reviews and submits employee supply and work requests to Facilities Manager/Director for
  • Works with other internal departments to coordinate agency sponsored events and participation in external events with partners and stakeholders.
  • Responds to, and records reports of environmental hazards, alerting the Facilities Manager and/or Director of all matters requiring attention.
  • Serves as a liaison between the Facilities department and building management

Facilities and Maintenance Skills

  • Performs repairs such as mechanical, hardware, and painting; places call for repairs and service of office equipment, as needed.
  • Assembles furniture and support equipment.
  • Assists Facilities Department in keeping the workspace professional and clutter
  • Performs routine inspections of all agency locations and submits reports to Facilities Director
  • Assist with the maintenance of company vehicles including periodic inspections and scheduling of service appointments.

Purchasing and Supply Management

  • Tracks and submits supply inventory levels to the facilities manager for
  • Coordinates incoming and outgoing deliveries, and courier
  • Assists in the maintenance of inventory for small office supplies and
  • May provide other administrative support, data management, clerical or other duties as

QUALIFICATIONS

This is a very visible role with forward-facing responsibilities and a customer service-oriented focus.

Facilities Management and Technical Skills

  • Must be able to handle occasional heavy lifting up to 50 with or without tools or assistance.
  • Understands and models’ best practices and rules for workplace
  • Strong aptitude for working with numbers (for purchasing reports, invoice reconciliation or calculation of service fees)
  • Familiarity with Excel for data management and Outlook for scheduling and email communications
  • Proficiency in MS Word, including the ability to create tables, publications and mail merge
  • Willingness to travel within the 5 boroughs as needed; occasional flex hours to perform operational assessments in the boroughs/QSRP operations*

Education and Experience

  • High School Diploma or GED
  • 2 years of experience in an administrative or facilities support role. Preference will be given to those with experience in office management, facilities management, or relevant area of experience.
  • Valid driver’s license

SALARY: $60,000 - $65,000

LOCATION: This role will primarily support our Kew Gardens and Long Island City locations, but the ideal candidate must be willing to travel within the 5 boroughs as needed; occasional flex hours to perform operational assessments in the boroughs/QSRP operations.

*Internal applicants must be at least 1 year in their current role and in good standing (no disciplinary action within the last 90 days) to be eligible for this role.

Note: This position is expected to operate on a hybrid schedule with in-person work at least 3 days per week this will vary due to agency needs, the ideal candidate must remain flexible. The successful hire must be able to assume responsibilities that are both remote and on-site, in accordance with CJA policy at the time of hire.
