Brief DescriptionAs a Front Office Associate at Nystrom & Associates, you will be the first point of contact for clients - answering phones, cheerfully greeting clients, registering and scheduling clients, collecting co-pays, and acting a liaison between our mental health professionals and our patients. This is a full-time role with set hours, see shifts below. You will be part of a team of mental health professionals that specialize in psychiatric evaluations, clinical social work, and family therapy. We are committed to helping patients in our community who are experiencing personal, emotional, marriage, family or psychological problems. You will play an important part in that process by actively listening to patients' needs and showing empathy to every patient you speak with. Reports to: Administrative Site Manager and Administrative Site Lead Type: Non-exempt Pay rate: $16 per hour Hours: Please indicate desired shift Monday - Friday, 6:30 AM - 3:00 PM 10:30am-7:00pm M-Th 8:30-5:00pm Friday Rationale: The Front Office Associate is the first point of contact for patients and strives to deliver a positive and welcoming experience in every interaction. This position plays an important role in the continuity of care by providing administrative support to patients and stakeholders through appointment scheduling, processing paperwork, and handling inquiries. Job Duties
Interacts with all patients and visitors with warmth and professionalism
Answer inbound and make outbound phone calls while responding to inquiries in a prompt and courteous manner, providing accurate information or triaging as appropriate
Check-in patients for appointments, verify demographic information, provide paperwork, and collect payments
Ensure seamless coordination of care by scheduling patient appointments and collaborating with providers using multiple computer systems
Maintain a clean and organized front desk and waiting room space by managing patient paperwork, office supplies, and other amenities
Handle patient concerns and crises with empathy and patience and collaborate with site leadership to resolve as needed
Participate in administrative tasks such as electronic filing, scanning, faxing, mailing in a timely manner
Attend mandatory meetings and trainings
Other duties as assigned
Qualifications
Highschool diploma or equivalent
Experience working in health care facilities and an interest in behavioral health preferred
Ability to prioritize responsibilities in a fast-paced environment
Strong attention to detail
Positive attitude
Proficiency in technology and computer use including Microsoft Office Suite
Strong communication and interpersonal skills, both written and verbal
Ability to manage stress while navigating difficult situations and escalated patient interactions
