O'Neil Langan Architects is seeking a motivated and detail-oriented administrative assistant to support our office operations in Chelsea, NYC. Our ideal candidate has previous experience handling a mixture of duties in a professional office environment. A background in data entry and/or office operations for business, architecture, engineering, or construction will be a major plus.

Our office is a professional but creative environment, with a warm and welcoming staff of architects from a variety of backgrounds. We're looking for someone with positive energy and a collaborative spirit who's excited to help our busy firm thrive. If this sounds like you, we want to hear from you!

This role will be part-time and fully on-site in our Chelsea office. Schedule of specific days and hours is negotiable, but Mon/Weds//Fri 9 am to 6 pm would be the most preferable. Flexible hours may be possible.

Duties and responsibilities for this role will include the following:

  • General assistance to bookkeeper with billing data entry
  • Communicating with and providing updates to the Business Management team
  • Receiving deliveries and organizing, checking, and maintaining supplies
  • Document filing
  • Light IT support (no IT expertise needed)
  • Setup and breakdown for meetings/events
  • Basic coordination with visitors and service vendors
  • Light cleaning of kitchen area if needed
  • Other miscellaneous tasks as they arise and if time permits

Requirements and Qualifications

  • Internship-level office experience (3 months to 1 year)
  • General computer/internet proficiency
  • Clear communication skills
  • Organized, detail-oriented, and proactive mindset
  • Great attitude for teamwork and problem-solving
