Job Description:

The Regional Administrative Assistant role at OSJL provides administrative support to the Regional Director by assisting, consolidating, organizing and structuring communications from the Regional Director and Company to the field team and stores within a region. This role operates with a sense of urgency and independent thinking. 

Key Responsibilities:

  • Communicate key operational and merchandising updates, as well as collect essential daily store data, fostering regional alignment.
  • Streamline store leadership workflow by documenting and distributing weekly schedules, ensuring vital tasks are prioritized.
  • Monitor completion of daily sales reports, recall compliance, RTW procedures, training completion, and required sign-offs, safeguarding regional performance.
  • Coordinate all aspects of store leadership meetings, including, but not limited to, invitations, agendas, refreshments, follow-up surveys, and capturing minutes.
  • Create supplementary reports to support regional objectives and key results, driving data-driven decision making.
  • Provide comprehensive administrative support to the Regional Director and Field Support teams (District Leaders, Performance Managers, Business Analysts), facilitating smooth communication, scheduling, and travel arrangements.

Qualifications:

  • Associates or Bachelors degree in a related field is preferred.
  • 2 or more years of experience as an administrative assistant or corporate administrator is preferred.
  • Prior experience in retail and/or customer service environments is preferred. 
  • Proficient in Microsoft Windows OS and Google platform (i.e. Mail, Calendar, Drive, Docs, Sheets, Slides, Forms, Sites).
  • Must have a valid driver’s license, reliable transportation, and a clean driving record.

Work Environment:

  • Works primarily in a climate controlled environment with minimal safety and health hazard
    potential. 
  • Works in an office environment remaining stationary at a desk, table, or computer workstation for extended periods of time. Frequently uses near vision for reading and computer tasks. 
  • Occasional travel to retail stores is required, depending on the needs of the business.
