Oconomowoc Realty LLC is Hiring an Office Administrator Near Oconomowoc, WI

Oconomowoc Realty LLC is hiring for an office administrator that will provide excellent customer service and perform a variety of clerical and administrative functions. Must be organized, a team player, able to prioritize, multi-task and show attention to detail.

This is a part-time opportunity. We are a family owned business, located in the heart of downtown Oconomowoc. If you are comfortable working in a small, fast paced office environment, this job may be a great fit for you. Essential duties and responsibilities include but are not limited to, the following:

Customer Service

  • Interaction with customers, tenants, apartment managers, contractors, and other visitors by phone, email, and in-person.
  • Intake: Receive rental payments and write receipts.
  • Work with resident managers and contractors to resolve issues. Coordination and follow up of various repairs and attention needed to rental properties and storage facilities.

Management of Rental Properties

  • Monitor lease expiration dates and send renewal notice/rent increases.
  • Manage and maintain databases for tenants and repairs.
  • Coordination of tenant move in/move outs including processing rental applications, creating leases, email leases/go over rental terms with new renters, distribution and collection of keys/door openers, process return of security deposits, coordinate repairs/maintenance as needed.
  • Composing letters to current residents.

Management of Storage Facilities

  • Manage and maintain database of storage tenants using Sitelink software.
  • Create and manage leases, move-outs, questions & aspects of customer service.

Miscellaneous Tasks

  • Monitor, order, and stock office supplies.
  • Processing daily mail.
  • Perform general administrative duties for team members when needed.
  • Other tasks as needed.

To perform the job successfully, an individual must demonstrate the following abilities:

  • Ability to multi task and prioritize duties.
  • Organized and detail oriented.
  • Interpersonal skills to interact with customers, tenants and others to efficiently solve conflicts, respond promptly to customer needs, and answer questions.
  • Strong oral and written communication skills to speak and write clearly to communicate messages, in a professional manner.
  • Cash handling skills.
  • Problem solving capabilities.

Compensation also includes paid holidays, paid time off, and profit sharing (probation period applies).

Qualifications
- Proficient in Microsoft Office suite
- Strong organizational and time management skills
- Excellent communication and customer service abilities
- Experience in data entry and office management
- Familiarity with multi-line phone systems and calendar management
- Ability to handle cash transactions with accuracy and integrity

Job Type: Part-time

Pay: $20.00 - $22.00 per hour

Expected hours: 12 – 20 per week
