Texas Space Commission is looking for an Executive Assistant (Executive Assistant IV).

What You’ll Do
This is a job that performs highly advanced (senior-level) professional assistance work highly complex (senior-level) professional assistance by working in a fast-paced and demanding professional environment for the Texas Space Commission. Work involves coordination of high-level administrative operations, including coordination of calendars and meeting requests, as well as managing day-to-day activities for the Executive Director and other executive-level personnel.
- Develops, reviews, interprets, and communicates administrative policies, procedures, standards, and methods.
- Prepares, reviews, and finalizes meeting notices, agendas, and handouts for distribution and/or posting.
- Communicates objectives, tasks, and decisions to Commission staff on behalf of the Executive Director.
- May plan programs and other administrative matters within the Commission.
- Effectively makes, coordinates, and maintains appointments, schedules, and calendars; develops trip itineraries and presentation handout materials; and coordinates travel for the Executive Director.
- Greets visitors to the Executive Director’s office.
- Coordinates meetings and schedules on behalf of the Executive Director.
- Independently and correctly prioritizes calls and emerging issues to determine when prompt, higher-level Commission follow-up action may be required. Demonstrates a sense of urgency and commitment in handling all caller and visitor inquiries.
- Effectively plans, coordinates, and performs executive assistant office management, professional and administrative duties, including oral and written communication, scheduling, telephone communication, mail sorting and distribution.
- Assists with planning and preparing miscellaneous data, reports, presentations, and documents. Prepares and organizes background documents for the Executive Director.
- Reviews and evaluates mail and customer requests or inquiries to identify items requiring priority attention.
- Timely reviews, reconciles and processes payment of invoices, approved purchase orders, and travel requests.
- Maintains well-organized and accurate records and electronic files.
- Independently and timely responds to letters and general correspondence of a routine nature or as authorized. Ensures internal review, approvals, and authorization for all sensitive information prior to release.
- May assist with Power Point presentations.
- Takes and conveys clear, accurate and concise messages.
- Demonstrates sustained knowledge of Commission, press releases and matters of public interest.
- Conducts research, compiles data, and prepares papers for consideration and presentation by executives, Commission staff, customers, and visitors.
- Completes expense and mileage reports for an executive(s).
- Coordinates and processes travel related forms and documents. Assists other staff on travel-related issues.
- Maintains visitor logs.
How You’ll Qualify
- High school graduate or equivalent; and
- Five (5) years of professional experience working as an administrative assistant at a state agency with responsibility for responding to multiple phone lines, switchboard duties or as an administrative assistant tasked with providing technical or program support, including office, purchasing and customer service.
Note: Experience and education may be substituted for one another on a year-for-year basis.

- Demonstrated proficiency and sustained competency in Microsoft Word, PowerPoint, and Excel systems.
