Description

Oglethorpe University is seeking an Assistant Director for the Office of Alumni Engagement. Reporting to the Senior Director of Alumni Engagement and Giving, this individual is responsible for helping develop and strengthen a pipeline of engaged alumni through the entire lifecycle, ultimately resulting in increased participation and giving. The Assistant Director is charged with the successful planning, execution, and post-evaluation of alumni events, volunteer opportunities, and other special initiatives while building and strengthening relationships with alumni for increased engagement.

While this individual will be responsible for helping the Senior Director with all aspects of alumni engagement, from events to volunteer opportunities, their work will focus on managing class reunions for the milestone reunion years and volunteer-led affinity groups. They will also serve as the staff advisor to the student alumni association.

Responsibilities:

VOLUNTEER MANAGEMENT AND DEVELOPMENT

  • Assist in the development of policies, infrastructure, and avenues to support new and existing alumni affinity groups, reunions, and anniversary celebrations.
  • Manage the Student Alumni Association by planning and facilitating a program of student engagement opportunities that provide them a unique link to the alumni association. Recruit students to join the Student Alumni Association.
  • Advise and support volunteers with the logistics of planning their events, meetings, and activities- including securing venues, food/catering service- setting goals/expectations, defining and developing committees/roles, monitoring budget expectations, etc. to result in successful volunteer experiences, continued engagement, and a sustainable leadership pipeline.
  • Identify, cultivate, and recruit alumni volunteer leadership through personal visits, email, and phone contacts. Meet with alumni and build participation in all areas of the University.

COMMUNICATIONS

  • Work with the Marketing to department to manage social media and webpages.
  • Work with Marketing to create digital marketing content for the alumni e-news, alumni website, and social media pages.
  • Work with Marketing to create marketing material for events.

CAMPUS RELATIONS

  • Collaborate with colleagues around the division and University to explore partnerships opportunities alumni affinity groups and alumni volunteers and share information.
  • Initiate outreach and facilitate collaborations between affinity groups and student organizations/campus office counterparts.

EVENTS

  • Assist with all aspects of campus and regional alumni engagement events, including location decisions, contract negotiations, logistics and volunteer management, and budget oversight.
  • Solicit feedback for program enhancements and integrate into engagement and leadership cultivation strategies.
  • In support of events and programming, identify, cultivate, and strengthen relationships with alumni in addition to maximizing existing relationships in collaboration with other Advancement Team members.

DATABASE MANAGEMENT

  • Work with Development Operations to ensure accurate and complete alumni database records.
  • Input contact reports in the database in a timely manner.

TEAM SUPPORT AND COORDINATION

  • Provide support for other team programs/projects.
  • Execute special projects and other responsibilities as assigned.

Qualifications


Requirements:

  • Bachelor's degree and a minimum of 3-5 years of experience in event planning, alumni relations/ development and/or related field.
  • Strong organizational and communication skills.
  • Ability to facilitate collaborative relationships and work in a team environment.
  • Desire to mentor students.
  • Availability to work occasional nights and weekends, along with overnight travel.
