Oklahoma City Epic Administration office is Hiring a Human Resources Support Specialist (OKC) Near Oklahoma, OK

Job Title: Human Resources Support Specialist 

Department: Human Resources 

Reports To: Managing Director of Human Resources 

Compensation Range: 50,000

TRS Classification: Non-classified

Summary: 

The Human Resources Support Specialist handles a variety of personnel-related administrative duties. They act as a liaison between HR managers and employees, ensuring smooth communication and prompt resolution of all queries. They also support our daily HR activities and assist in coordinating HR policies, processes, and relevant documents.

An ideal candidate for the support specialist position has an academic HR background. For this role, they should be able to work autonomously and assist the HR team with many HR duties, specifically crafting Purchase Orders (POs) as part of procurement processes. 

Essential Duties and Responsibilities include the following. Other duties may be assigned. 

  • Actively participate in the success of Epic Charter School 
  • Adhere to laws, policies, procedures, and ethical standards of Epic Charter School ? Assist with day-to-day operations of the HR functions and duties
  • Provide administrative support to Human Resources department
  • Compile and update employee records (hard and soft copies)
  • Coordinate HR projects (meetings, training, surveys etc) and take minutes
  • Assist with employee requests regarding human resources issues, rules, and regulations ? Assist in payroll preparation by providing relevant data (absences, bonus, leaves, etc)
  • Oversee PO and Contract processes for all HR/Legal team, ensuring correct coding and information before submitting to the Executive Director of Human Resources for approval, including checking for 3 bids or sole source forms (when required), w9’s for new vendors, and other required documentation
  • Make all necessary arrangements for travel and conferences for HR/Legal team
  • Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, and holiday parties
  • Perform the above and other related duties consistently and with strict confidentiality, consistent with the scope and intent of the position 

Supervisory Responsibilities: 

  • No supervisory responsibilities

Education and/or Experience 

  • Associate's Degree Preferred
  • Proven experience as an HR assistant or relevant human resources/administrative support position required
  • Experience in an education setting is preferred.

Qualifications 

  • Familiarity with a remote and online working environment is also an advantage. ? Hands-on experience with an HRIS or HRMS preferred
  • Basic knowledge of labor laws preferred. Oklahoma experience preferred
  • Displays an ongoing commitment to learning and self-improvement
  • Diligently attends to details and pursues quality in accomplishing tasks ? Coordinates ideas and resources to achieve goals 
  • Comfort with adapting to changing business needs, conditions, and work responsibilities ? Have a cooperative, team-oriented approach to work

  • Be highly self-motivated and have the ability to work independently 
  • Be able to handle stressful calls and callers 
  • Excellent listening skills and the ability to ask probing questions, understand concerns and overcome objections 
  • Strong work ethic and self-starter, able to effectively manage multiple priorities and adapt to change within a high-volume and fast-paced environment 
  • Must possess a professional and friendly attitude and be able to quickly develop a rapport with customers over the phone 
  • Ability to learn and navigate new software quickly 
  • Resolve issues and conflicts 
  • Passionate commitment to the mission of school choice 
  • Ability to maintain professional confidentiality and comply with FERPA and HIPAA guidelines 

Language Skills 

Ability to read, analyze, and interpret internal communications, financial reports, and legal documents. Ability to respond to common inquiries or complaints from families or members of the business community. Ability to communicate effectively with students, families, and coworkers verbally and in writing. 

Mathematical Skills 

Basic math skills required. 

Reasoning Ability 

Ability to define problems, collect data, establish facts, and draw valid conclusions.

Computer Skills 

To perform this job successfully, an individual should have computer proficiency in Windows, Microsoft Office and Google Tools with the ability to manage multiple computer screens. Strong knowledge of Excel is preferred. Knowledge of web conferencing/meeting tools. Must have a high aptitude to learn new software as necessary for the business operations of the school. 

Certificates, Licenses, Registrations 

  • Current driver's license and valid car insurance 

Other Qualifications 

  • Must be able to pass a state-mandated background check after a conditional offer of employment is made 
  • Must have favorable employment references

This position works in the Oklahoma City Epic Administration office. The noise level is quiet to moderately loud (when students are present.)
