ONE HEALTH is Hiring an Intake Coordinator- Dental Near Sheridan, WY

POSITION SUMMARY:

Provides administrative and clinical support for the overall dental program, clinic, and staff. Responsible for maintaining quality assurance for clinic practices and patient records in compliance with state and federal agency rules and regulations. Facilitates the daily operations of the dental clinic by coordinating patient care, functioning as dental’s front desk team member who promptly greets visitors, patients, and families upon arrival. Responsible for an organized, efficient, and quality check-in and check-out experience for all patients.

COMPENSATION: $18.59-$19.36/hr DOE

EMPLOYMENT TYPE: Full-time

HOURS: Monday-Friday

MINIMUM JOB QUALIFICATIONS: 

Education/Certificates/Licenses: 

Required:

  • High school diploma or GED
  • BLS Certification upon hire
  • Valid driver’s license

Preferred:

  • Graduate of a certified medical administrative assistant program

Experience:

Required

  • One (1) year customer service
  • Competent computer skills
  • Familiarity with Microsoft Office

Preferred:

  • Two (2) years of community health and/or physician’s office
  • Experience with electronic medical records

ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES:

  1. Oversees the daily schedule and operations of the clinic, supporting patient care for all aspects of the dental clinic; coordinates the assignment of patients; tracks and facilitates patient appointments.
  2. Primary employee for patient intake, registration, scheduling, insurance verification, demographic capture in dental records, patient phone calls, payments, patient reminders, answering phone, and check-out. Assists with patient care plan communication.
  3. Maintains dental schedule to maximize efficiency. Schedules and reschedules patients as indicated by clinical provider. When openings in the schedule arise, attempts to fill the opening with an alternative productive appointment.
  4. Works to maximize productivity for dental team and patients.
  5. Confirms dental appointments by text, email, or phone as requested by patient.
  6. Uploads quality photographs of patients for Electronic Dental Record (EDR).
  7. In collaboration with the Dental Director, monitors and adjusts clinic practices to ensure compliance with State Board of Dentistry and other regulatory requirements.
  8. Assists quality and optimization team in tracking patient care outcomes and corresponds with patients for completion of treatment.
  9. Manages the overall patient records system; ensures HIPAA compliance; administers scheduling components.
  10. Maintains office supplies, equipment, and inventory; assists with purchasing to ensure optimal clinic effectiveness and monitors budget.
  11. Primary point of contact for the equipment maintenance and repair program for clinic equipment, including computer hardware and software, chairs, amalgam separator, compressor, vacuum system, dust collector, hazardous waste disposal, and other systems and equipment. Directs equipment technicians to appropriate clinic employee for further guidance/direction.
  12. Coordinates in-service trainings relative to operational updates in the clinic.
  13. Provides project support to the Dental Director, including gathering statistical data for finance, productivity, quality, and other requirements related to funding requirements or internal measures.
  14. Attends internal and off-site trainings, committees, meetings, and other relevant events as required.
  15. Verifies dental benefits and dental plan details. Updates dental software with all details related to patients’ dental plans.
  16. Ensures benefits are accurate and considered as part of the financial planning.
  17. Works with dental biller to ensure all insurance related duties are completed in a timely and accurate manner.
  18. Strives for excellent patient relations and financial success for the clinic.
  19. Responds efficiently to patient needs and inquiries including schedule, finance, and billing questions.
  20. Prepares bank deposits and ensures deposits balance with dental software payments report.
  21. Ensures all patient referrals are successfully completed both internally and externally, including all proper documentation, tracking, and follow up; ensures patient receives appropriate assistance throughout the entire referral process.
  22. Tracks, monitors, and maintains all dental lab cases being sent and received; including contacting the lab or patient when necessary for optimal scheduling and case turn around.
  23. Adheres to all One Health Policies and Procedures.
  24. Exemplifies a patient-centered care approach to each patient along each stage of the patient journey, while working as a key patient centered team member by communicating individual patient care needs to support the needs of patients served.
  25. Participates in quality improvement and risk management activities as required.
  26. Cooperates and abides by all elements of One Health’s Compliance Program.
  27. Provides exceptional customer service and models the mission of One Health when interacting with internal and external stakeholders promoting a positive image for the health center.
  28. Performs other duties as assigned or required with or without prior notification.
