Title: Administrative Assistant

Hours: Full time, 8:30am-5pm, M-F, occasionally after hours

Work Location: In-Person at Main Office

Salary Range: $11-$13 per hour

Supervisor: Executive Director

About Onslow Women’s Center:

OVC provides crisis intervention to victims of domestic violence (DV), sexual assault (SA), human trafficking (HT) and a mission to end all forms of interpersonal violence through education and prevention. OVC provides advocacy, case management, community outreach and education, and emergency shelter. Our advocates provide a broad focus on all potential elements of victimization through crisis intervention, identify and respond to cognitive distortions, explore coping with symptoms, provide information, options, resources, explanation of systems and how to interface, and provide psychoeducation about sexual assault and Intimate Partner Violence. Advocates respond to the hospital for sexual assault cases, accompaniment to court, and support the shelter clients. The shelter is intended to be temporary based on emergent and imminent danger for all genders and their children. Additionally, OVC owns and operates a robust Thrift Store called Finders Keepers where all proceeds support the mission of serving survivors.

Essential Functions:

Administrative duties for the organization by assisting with daily tasks for day-to-day office operations, volunteers, and outreach efforts.

JOB DUTIES:

Advocacy (20%)

Provide direct service advocacy for

  • crisis calls or transfer to crisis line when appropriate,
  • survivors who present to the main office when Court Advocate or Legal Advocate unavailable.

Administration

Office (30%)

  • Support with the day-to-day operations of the main office and Shelter/Thrift Store when needed,
  • Maintain office and Executive Director calendar,
  • Greet visitors at the door or on the telephone, and provide them with necessary information/assistance and direct them to the appropriate staff member,
  • Answer and direct phone calls, take messages, and handle inquiries in a professional manner,
  • Navigate web form submissions and forward to staff members accordingly,
  • Prepare and distribute correspondence, memos, reports, and other documents,
  • Maintain filing systems, both electronic and physical, ensuring accuracy and confidentiality,
  • Perform general clerical tasks such as meeting note taking, data entry, proofreading, photocopying, scanning, faxing, and mailing,
  • Facilitate “going paperless project” for all office documentation,
  • Sort incoming mail and log safe house mail,
  • Process walk-in donations, provide receipts to donors, and track,
  • Maintain office supplies, equipment inventory, and ordering.

Outreach (25%)

Support outreach efforts via:

  • Assists with maintaining community outreach contacts database and communicating with community partners, stakeholders, and vendors,
  • Event planning – attaining permits, site setup, booking venues, ordering printed signage,
  • Attend outreach events,
  • Under the direction of Outreach Manager/Executive Director, maintain agency Social Media Platforms to include:
  • Monitoring and responding to chat and private messages, or direct to appropriate staff member for response,
  • Post approved scheduled content,
  • Create meaningful graphics/content in accordance with OVC branding guidelines.

Volunteer (25%)

· Volunteer onboarding

  • Collect or route submitted volunteer applications to appropriate manager for review
  • Schedule new applicants for interview with ED
  • Once vetted, register new volunteers with NCCASA/NCCADV foundational training
  • Schedule initial training with ED
  • Volunteer Data Base Volgistics -- enter and maintain volunteer information

· Scheduling volunteers

  • Monthly on-call schedule for hospital coverage
  • Routine meetings
  • OVC Events and/or Projects

· Ensure Volunteer documentation is received , forwarded to manager, then entered into EmpowerDB

Qualifications:

  • Previous experience as an administrative assistant or in a similar role preferred
  • Strong organizational skills with the ability to critically think and prioritize tasks effectively
  • Initiative to make process improvements
  • Demonstrated competence with Microsoft office, Outlook, researching, and data software
  • Effective written and verbal communication skills
  • Ability to handle confidential information with discretion
  • Familiarity with front desk operations and phone systems
  • Professional etiquette and customer service skills
  • Must complete NCCADV and NCCASA advocacy training within first 45 days
  • Ability to work with difficult subject matter and demonstrate compassion for this vulnerable population

Employees holding this position will be required to perform any other job-related duties as requested by Executive Director.

Probationary Period

Each employee of the Onslow Women’s Center will have a ninety (90) day probationary period commencing on the 1st day of full-time employment. This is a time for you to evaluate the Center and the management to observe and evaluate your performance. Your employment can be terminated at any time during this period. At the end of the probationary period, you will be evaluated on your job performance by the Director and annually thereafter.
