OPPORTUNITIES, INC. is Hiring an Executive Assistant to the Senior Vice President of Education Futures Near Washington, DC

The American Council on Education (ACE) is the major coordinating body for the nation's colleges and universities. The Executive Assistant to Senior Vice President will manage daily administrative tasks and coordination for the SVP, support divisional communications and meetings, and provide specialized project management and execution support for the SVP.

Essential Job Duties or Tasks

  • Manages calendar and coordinates daily scheduling of internal and external appointments for the SVP, including time sensitive requests and messages 
  • Compiles the SVP’s daily briefing book of meeting materials 
  • Develops protocols and materials and provides in person support for on-site visits for Education Futures in collaboration with other departments. 
  • Confirms attendance at meetings as required, arranges meetings, coordinates space, equipment, catering, and room setup according to program requirements 
  • Arranges travel; develops itineraries, meeting logistics and agendas 
  • Processes invoices, submits and manages SVP Office expenses and purchase orders 
  • Tracks and manages internal and external correspondence for the SVP by prioritizing and appropriately flagging for action 
  • Drafts correspondence and supports the execution of communications for internal and external stakeholders 
  • Collaborates with the Special Assistant to the Chief Learning and Innovation Officer to develop and track strategic initiative budgets and projects 
  • Maintains working knowledge of project budgets and provides summary reports at the request of the SVP 
  • Manages contracts for consulting and other services for the SVP Office 
  • Plays a key role in the SVP’s day to day activities, including updating documents and meeting materials, creating and editing PowerPoint presentations, and organizing important deadlines to ensure completion 
  • Staffs SVP at high-level meetings and provides preparation support 
  • Conducts specialized research at the request of the SVP 
  • Manages SVP’s documents on the divisional shared digital workspaces. 
  • Maintains up-to-date and accurate knowledge of SVP’s document management structure and provides documents at the request of the SVP 
  • Completes discrete projects and special assignments
  • Assists with other duties as necessary

Education/Experience/Specialized Knowledge and Competency Requirements:

Required

  • College degree or equivalent experience required. 
  • At least 2-5 years of administrative or operational experience in a fast-paced environment, including experience in higher education. Advanced degree may substitute for experience. 
  • Commitment to promoting diversity, inclusion, and equity, as well as a culture of integrity. 
  • Demonstrated strong Microsoft Office Suite experience. 
  • Demonstrated significant office management experience. 
  • Ability to make rapid, independent decisions regarding high priority requests. 

Preferred

  • SharePoint experience a plus. 
  • Demonstrated experience in higher education. 
  • Excellent communication skills to include written, verbal and interpersonal skills. 
  • Ability to interface well with all departments within an organization in a highly professional manner and maintain confidentiality when dealing with sensitive matters. 
  • Ability to work independently and respond to requests in a flexible/creative manner. 
  • Ability to problem solve and adapt to changing needs. 

Working Conditions/Physical Effort:

Office environment; hybrid schedule. Occasional travel required. This position is a requirement to be in the office at 1 Dupont Circle, Washington DC 20036 at least 2 days per week.
