Orange County Acting Academy is Hiring a Part-time Administrative Assistant Near Mission Viejo, CA

About Orange County Acting Academy (OCAA): Orange County Acting Academy (OCAA) is a vibrant learning space dedicated to empowering individuals of all ages through the performing arts. Our academy offers comprehensive acting classes, workshops, and programs led by seasoned industry professionals, focusing on film and television acting. We prioritize serving our students and their families with integrity and kindness.

Job Overview: The Administrative Assistant will play a crucial role in ensuring the smooth operation of OCAA by providing administrative support to staff, students, and their families. This role involves a variety of tasks, including office management, communication coordination, assistance with day-to-day activities, light video editing, light cleaning duties as needed, and facility management. We are a young business, and much of this role will require flexibility to grow with the business. We are looking for someone who wants to grow their role at OCAA into an FT job.

Responsibilities:

  • Office Management:
  • Maintain a well-organized and tidy office environment.
  • Manage office supplies inventory and place orders as needed.
  • Oversee the maintenance of office equipment and facilities.
  • Communication:
  • Handle incoming calls, emails, and other communications professionally and promptly.
  • Greet visitors and provide them with relevant information or assistance.
  • Maintain regular communication with the owners to ensure alignment and consistency in operations and objectives.
  • Administrative Support:
  • Assist with the preparation of documents, reports, and presentations.
  • Maintain accurate and up-to-date student and staff records.
  • Process enrollments, payments, and other administrative tasks related to student management.
  • Event Assistance:
  • Provide support for academy events, workshops, and classes.
  • Assist in the planning and executing events, ensuring all logistical details are managed.
  • Occasional weekend events may be requested, and participation is highly encouraged. These will be paid opportunities to support the academy's activities and foster community engagement.
  • Customer Service:
  • Serve as the primary point of contact for students and parents, addressing inquiries and resolving issues.
  • Strive to know all students and parents by name and learn a little about them to foster positive relationships and enhance the overall experience at OCAA.
  • Overseeing the scheduling of 1:1 coaching and use of the Self-Tape Studio.
  • Ability to interact well with children and adults.
  • Processing payments.
  • Data Management:
  • Maintain and update databases and filing systems.
  • Ensure all records are kept confidential and secure.
  • Help to enter and manage data in-studio programs, including our custom programs, Mail Chimp, Hubspot, Yodeck, etc.
  • Light Video Editing:
  • Assist in editing videos for promotional materials, class recordings, and other academy-related projects.
  • Ensure videos are polished and aligned with OCAA's standards.
  • Light Cleaning:
  • Perform light cleaning duties as needed to maintain a tidy and welcoming environment.
  • Assist in keeping common areas, classrooms, and offices clean and organized, particularly during camp weeks.
  • Facility Management:
  • Oversee the scheduling and management of the self-tape studio to ensure smooth and equitable access for all students.
  • Oversee the maintenance and organization of the academy’s facilities.
  • Coordinate repairs and maintenance as needed to ensure a safe and functional environment.
  • Keep track of the bathroom key.
  • Follow opening and closing duties as instructed.

Qualifications:

  • Consistent attendance is required.
  • Proven experience as an administrative assistant or in a related role.
  • Willingness to get a California Child Performer Services Permit (which requires a live scan) OCAA will pay for subsequent renewals.
  • Bachelor’s Degree Preferred.
  • Must have reliable transportation.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and office management software.
  • Proficiency with iMovie or other video editing software.
  • Proficiency with Canva or willingness to learn.
  • Must be proficient with MAC computers and related software.
  • Basic video editing skills.
  • Excellent organizational and multitasking abilities.
  • Strong written and verbal communication skills.
  • High level of integrity and professionalism.
  • Ability to work independently and as part of a team.
  • Familiarity with the film and television industry is a plus.
  • Excellent communication skills and a sense of humor.
  • Ability to adapt to changing situations and take initiative.
  • Ability to lift 20 lbs and sit for long periods with reasonable accommodations.
