PRIMARY PURPOSE
The primary purpose of the Office Services Administrator is to maintain office services by organizing office operations, meeting rooms, and procedures, including the OCP libraries. This position is full-time on-site at our Lake Oswego headquarters. In this role, you will: provide coverage for reception, including answering phone calls and mailing projects; assist Publisher Assistant as needed; maintain stock of office supplies/equipment and place orders when necessary; create and maintain a safe and comfortable working environment, including organizing the mailroom and kitchen area daily; coordinate/assist/troubleshoot and provide quality control for vendors; perform minor repairs and cleaning of public office spaces as needed; establish and implement office operations and procedures; and maintain the general upkeep of the premises.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Collaborate with Product Development, Events, Engraving, Marketing, CSS, and other departments to establish product library and service specifications.
  • Provides set up and teardown of OCP events, meetings, and other facilities activities.
  • Respond in a timely manner to accomplish assignments, i.e., Service Desk Tickets.
  • Responsibilities include backup and coverage for reception positions and mail delivery, as needed.
  • Performs minor repairs and cleans public office spaces as needed; maintains public spaces.
  • Assists Publishers Admin with general building and logistical requests.
  • Responsible for maintaining the facility ensuring professional-looking, clean premises, including landscaping.
  • Maintains security of premises. Alarm system, employee access, keys, fobs, cameras, etc.
  • Ensures safety program is maintained, including fire drills and ergonomics training, and participates in the Safety Committee.
  • Inventories and orders office supplies to ensure support of office needs.
  • Document work processes and procedures. Review and revise annually.
  • Promote and maintain strong relationships with internal and external stakeholders to ensure optimal vendor performance. Actively engage with key suppliers to address issues and identify potential opportunities. Communicate requirements and specifications to contracted vendors to produce desired results.
  • Deliver continuous improvement of supplier performance (e.g., costs, service, quality)
  • Establish quality control processes for services to ensure contract compliance and vendor performance. Set and/or enforce Service Level Agreements (SLAs), provide measures and set goals and expectations with vendors.
  • Conduct onsite vendor (landscaping, plant service, garbage service, cleaning crews) checks as needed.
  • Accountable for reporting and achievement for the facility department including budget.

  • Obey company rules, policies, and safety procedures.
  • The position also includes other duties as assigned.
Requirements:

MINIMUM REQUIRED QUALIFICATIONS & EXPERIENCE

  • A high school diploma or equivalent is required; additional education or certification in office administration is a plus.
  • Must be able to carry up to 40 lbs. (boxes, tables, chairs, etc.)
  • Basic proficiency with Microsoft Word, Outlook, Excel, and CRM software
  • Strong organizational skills with the ability to multitask and prioritize tasks effectively are also required.
  • Demonstrated ability to develop and maintain positive, effective relationships.
  • Enthusiastic, determined and committed.
  • Confident self-starter, with an ability to innovate and think laterally.
  • Team player
  • Good communication and interpersonal skills.
  • Strong and proven organizational and record-keeping skills.
  • Skilled in written and verbal communication in English.

PREFERRED QUALIFICATIONS & EXPERIENCE

  • Proven experience in an administrative role or similar position is preferred.
  • Experience with vendor management.
  • Demonstrated skills in problem-solving and resolving issues with vendors.
  • Knowledge of OCP products and quality expectations preferred.
  • Bilingual Spanish

COMPENSATION & BENEFITS

Estimated starting pay range between $22.75-$24.42 per hour depending on qualifications and experience.
