Benefits to You

Position Highlights

The Jackson County Circuit Court in Medford, Oregon, is hiring a Calendar Clerk (Court Operations Associate).

In this role, you will create and maintain the criminal master calendar sessions and hearings, publish daily, weekly, and annual calendars, maintain resources and email groups, create and update court sessions for the civil, probate, criminal, and juvenile units. You will receive and docket court filings that you receive electronically and at the customer service counter, and you will use Microsoft Excel extensively to maintain the court docket. You will also enter and schedule criminal motion hearings, special set hearings, and remote proceedings that are conducted over the phone or via video conference.

You will provide customer service in person, over the phone, and in writing by answering questions from the public, judges, court staff, attorneys, litigants, and partner agencies about court processes, procedures, and scheduling. You will also coordinate daily calendars and schedules with partner agencies.

Assigned tasks may be changed to accommodate workload and organizational needs.

Minimum Qualifications

The qualified candidate must have a high school diploma or equivalent.
AND
At least three (3) or more years of responsible experience in a moderately complex office or business setting involving the processing of financial, administrative, or legal documents.

OR

Any combination of education and experience equivalent to three (3) years of experience that typically supports the knowledge, skills, and abilities for the position.

  • Experience performing a variety of clerical or administrative support tasks, with strict deadlines in a busy business or professional setting.
  • Experience using a variety of software programs, including Microsoft Excel, to access and input information and complete various tasks.

  • Experience providing customer service to a variety of individuals in challenging circumstances.
  • Experience identifying and safeguarding confidential information and materials.

Working Conditions

  • This is a full-time position, and the work schedule currently is 8:00 a.m. to 5:00 p.m. Monday through Friday. This position is eligible for overtime compensation for hours worked in excess of 40 per workweek.
  • Occasional early-morning, after-hours, or overtime work may be required.
  • This is a fast-paced, high-volume office environment with multiple deadlines and interruptions daily, which requires careful time management, attention to detail, and multitasking (often concurrently).
  • Daily data input and work with confidential documents and information.
  • Frequent phone and in-person contact with people from diverse backgrounds.
  • Frequent phone and in-person contact with people who may be facing challenging life circumstances, highly stressful situations, or trauma.
  • Daily contact with the public, which includes working with parties involved in civil, family, and criminal court cases, and with law enforcement agencies.
  • Long periods of sitting or standing may be required.
  • Frequent lifting, bending, twisting, and kneeling may be required.
  • Lifting items that weigh up to 40 pounds may be required.
  • Regular use of the following equipment: telephone, OJD-assigned computer with multiple monitors, copy machine, fax machine, scanner, and other electronic devices.
  • The qualified candidate must start the process of CJIS clearance within the first week of hire.
