Purpose and Job Summary The Sr Administrative Assistant will provide administrative support for the asset management team, and executive support for select business leaders. This position will execute various administrative functions, including but not limited to, assisting with new hire onboarding, coordinating meetings, assisting with various functions involved in investor servicing transactions, and other special assignments, as requested. Exceptional interpersonal and communication skills are required, particularly in the areas of business acumen, decorum, confidentiality, and professionalism. Essential Duties & Responsibilities Provide logistical support for meetings and conference calls, including scheduling, meeting materials, conference room arrangements, coordinating meals, and other assistance as needed Coordinate and maintain complex business calendars in Outlook Assist with the preparation and production of materials for client and company presentations Provide general support for EMS space scheduling software inquiries and assist with coordinating office space, meeting space, and hoteling stations for traveling employees Assist with onboarding new hires by ordering equipment, coordinating meetings and training, and organizing/preparing workstations Provide executive-level administrative support to select business leaders Set up and manage conference calls and meetings, including the preparation and organization of meeting space and materials in advance Review and process travel arrangements, expense reports, and other invoices for approval and payment Maintain good relationships with senior leaders, team members, and other employees as well as external partners doing business with the team Administrative functions such as greeting visitors, making copies, and maintaining travel profiles Order office supplies Serve as backup support for other department admins, and complete additional tasks as needed Other related duties as assigned Contacts This position has frequent contact with all levels of employees and management. In addition, this role will interact with portfolio company executives, outside business partners, vendors, consultants, and other office visitors. Education, Skills & Experience Associate’s or Bachelor’s Degree from an accredited university in business administration, real estate, or related field or at least three years of progressively responsible experience in a similar administrative position required Proficiency in Microsoft Office and list other relevant systems or software Excellent organizational, communication, presentation, and interpersonal skills Ability to plan, organize, and prioritize assignments, and to meet critical and established deadlines; Ability to manage multiple assignments and transactions simultaneously Demonstrate ability to maintain confidentiality and to use discretion in the performance of daily activities Demonstrate a positive attitude and consistent temperament, and must adhere to the highest standard of ethics and professional behavior Professional business image and excellent command of the English language, both verbally and in writing (spelling, grammar, and punctuation) Ability to learn quickly and demonstrated ability to work independently and as part of a high-performance team Flexibility and ability to work under pressure with tight deadlines and constant interruptions; Ability to adjust priorities in a changing environment Hourly Base - $30-$40 (NY only). The base salary range represents the estimated low and high end of ORIX’s salary for this position. Actual base salaries will vary and will be based on various factors, such as the candidate’s qualifications, skills, competencies, and proficiency for the role. The base pay is one component of ORIX’s total compensation package for employees.
