Job Description: The Closing Agent acts as a liaison between financial institutions, title insurance underwriters, borrowers, buyers, sellers, and realtors by preparing, processing and closing insurable real estate purchase and refinance transactions.
Essential Functions & Responsibilities :
  • Prepares each file for closing by reconciling the Closing Disclosure and/or HUD-1 by accurately entering the information obtained from appropriate parties into the title database. Collects necessary information for closings including Insurance, Payoffs, Homeowners Association info, Realtor Commission, etc. by making phone calls to members, realtors, and loan officers. Records information in the appropriate file and within the database. Prepares the closing package to be executed and verifies that funds have been received from the appropriate source prior to disbursing checks.
  • Works proactively with the Title Manager or Licensed Agent to resolve title issues in a timely manner in order to deliver clear title to the appropriate parties. Effectively communicates status of title issues to appropriate parties as necessary until the title issue is resolved. Prepares various legal documents as needed for each file
  • Conducts closing of refinance, purchase, and construction-to-permanent transactions ensuring that all documents are properly executed and notarized. Travels to conduct closing transactions, including location of client's choice, realty offices, various branch locations, and other locations as necessary.
  • Organizes, updates, and maintains closing calendar by scheduling and coordinating closing transactions with Buyer, Seller, Realtor, Lender, and/or Contract Closing Agent if applicable.
  • Handles post-closing issues with files and also post-closing client questions via phone, e-mail, and title database. Export purchase files in database to assist with 1099 reporting requirements.
  • Updates tasks within the title database system for each file prior to closing and ensures that each file has been reviewed by the Title Manager or Licensed Agent within 24 hours prior to closing. Cancels files in database when notice is given that a transaction will not close.
  • De-Titles manufactured homes by sending original title and other documentation to the State of TN.
  • Mentors new employees on duties relating to closing transactions.
  • Actively pursues opportunities to develop outside business with new clients.
  • Performs other duties as assigned.
Required Experience: Three or more years of financial services experience required. Title company experience preferred.
Education: A Bachelor's degree in Business, Finance, or a related field is required, or an equivalent combination of education and related experience is required.
Other Skills Required:
  • Proficiency in Microsoft 365, to include Word, Excel and PowerPoint
  • Proficiency in Google Workspace, including Docs, Sheets, Slides and Gmail
  • Excellent organizational and analytical skills
  • Ability to communicate clearly and professionally with all levels of an organization
  • Excellent written skills, including business writing ability
  • Excellent time management skills and accustomed to working with deadlines
  • Strong customer service orientation
  • Must be able to multi-task with an extremely high level of accuracy
