Job Description – Therapy Front Desk (Patient Access Specialist)
o Check in patients inclusive of collecting patient’s financial responsibility for items and services and reviewing occupational/physical therapy benefit form, DME (durable medical equipment) benefit form, and dry needling consent form for patient signature
o Review necessary intake forms (outcome measures, questionnaires, therapy attendance policy, OG no show policy, etc.) for patient signature
o Balance time of service payment collection by day’s end
o Schedule patients for initial evaluation and follow-up therapy appointments
o Reschedule and cancel appointments based on patient request and clinic needs
o Obtain and upload any demographic or relevant insurance information needed for benefit verification and charge submission
o Answer phone calls and assist patients as needed inclusive of determining purpose of call. Transfer patients to appropriate department or individual if needed
o Consistently check and respond to voicemails and emails
o Address patient questions and concerns. Refer patient to proper department or individual if outside of purview
o Communicate with therapists about schedules inclusive of cancellations, no shows, and patient issues/concerns
o Review same-day and next-day cancellations periodically throughout the work day. Move up appointments as openings permit. Notify insurance verification staff of any schedule changes
o Communicate with insurance verification staff regarding authorizations, benefits, and any other relevant insurance questions, concerns, or discrepancies
o Coordinate with other support staff to provide necessary coverage for office opening/closing and lunch coverage at facilities. All staff works collectively to ensure proper coverage particularly during staff shortages
o Attend staff meetings and complete required training sessions
o Complete regular office duties inclusive of, but not limited to, scanning, copying, uploading documents into our EMR system (Athena), replenishing paper and toner for printer, and keeping front desk area neat
o Work closely with all staff members with open lines of communication and respond timely to inquiries regarding any and all issues to create a smooth workflow
o Maintain Orthogeorgia performance standards specific to Patient Access Specialist position
