Job Title: Clinic Supervisor
Department: Clinic
Reports To: Clinical Manager
FLSA Status: Non-Exempt (Hourly Position)
Work Schedule: Monday-Friday, 8:00 A.M. - 5:00 P.M., with flexibility to work varied hours to accommodate patient volume and provide managerial support of clinical operations. This may include weekend shifts as a Medical Assistant or Manager on Duty for the Extended Care Clinic.
Summary:
This position is to help provide the best patient care available by assisting the Clinic Manager and clinic staff to optimize the physician patient contact time to allow delivery of quality patient care while maximizing volume. This position will assist with daily administrative, patient care and patient flow issues and serve as back-up to the Clinic Manager by performing the following duties.
This position requires compliance with Ortho East’s compliance standards, including its Code of Conduct, Compliance Program, and policies and procedures. Such compliance will be an element required as part of the Clinic Supervisor’s job duties and considered during performance evaluations.
Essential Duties and Responsibilities : include but are not limited to the following:
- This is a full-time position which requires consistent attendance, being on time, and conforming to the work schedule as described in the heading of this document.
- Work with clinical staff on the floor trouble shooting and answering questions.
- Fill in as needed to cover staff shortages, including duties such as creating weekly clinic schedule and providing lunch coverage.
- Resolve patient issues when necessary.
- Support management team with covering a Weekly MOD shift and supporting the coverage when managers are out.
- Assists in developing standards and procedures for providing nursing care and for evaluating service.
- Provides orientation, teaching, and guidance to staff to improve quality and quantity of service.
- Assists in evaluating performance of clinical staff and support the manager in resolving personnel issues.
- Participate in interviewing and selection of new staff members.
- Help organize staff meetings and participate in presentations as necessary.
- Audit all clinic rooms for cleanliness, proper stock levels, signage, etc. and report any issues to the appropriate leadership team.
- Help keep MA and MD stations organized and neat.
- Ensure the surgical room is kept clean and organized and validate that all autoclaved instruments are clean and ready for procedures.
- Make sure the biohazards sharps and biohazard containers are properly utilized and emptied.
- Work with Lab Team and Providers when abnormal labs come in and follow proper protocol to get patient cleared for surgery.
- Support all providers with stat and holiday admissions.
- Assist with nurse visits.
- Assist with providing externship with community colleges for Medical Assisting students.
- Assist patients with medication questions.
- Manage all message boxes through clinical team to ensure all meds are answered the same day and patient questions are getting answered in a timely manner.
- Support the Clinic Manager and other Leadership when needed.
- Other related duties as required.
Supervisory Responsibilities:
- Directly supervises employees in their departments through training, coaching, counseling, and performance management in partnership with the Clinic Manager.
- Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws.
- Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; performance management of employees including reviews, encouragement, and disciplinary action in partnership with administration.

The physical demands of this position require the employee to spend long times sitting and keyboarding, as well as walking throughout the department to observe and support the work of staff members.
Education and/or Experience:
- High School diploma or GED required
- Secondary training and/or education preferred
- Minimum of 5 years of medical office experience, preferably in a billing and/or clinic support environment
- Minimum of 5 years in a supervisory or lead position preferred
- Knowledge of Practice software and computer systems
- Competent in all Microsoft Office Suite Software
- Experience in maintaining confidentiality in dealing with sensitive issues
- Proven ability in making sound and accurate judgements in problem solving work issues
- Successful record of follow through on commitments and demonstrated dependability
