POSITION SUMMARY

The Human Resources (HR) Coordinators primary function is to provide support with a variety of duties within the office environment. Act as a behind-the-scenes collaborator whose primary job responsibilities are focused on helping the HR Department accomplish HR related task, so that they can take on more challenging projects to help expand employee engagement, learning and development and recruiting efforts. In addition to administrative duties, provides primary backup to the Reception Desk; assist with corporate events; campus recruiting efforts; the summer internship program; service awards; and is the committee chair for the Fun/Social committee; as well as assist with training set-up and tracking and assist with a variety of other duties as noted below.

As a member of the HR Team, the Human Resources Coordinator will work within a cooperative team environment to execute assignments, meet deadlines and provide assistance in a professional manner

PRIMARY RESPONSIBILITIES

  • Provide support to the HR team by working closely with the Director of HR and HR Generalist on prior tasks as needed daily, weekly and monthly.
  • Primary receptionist relief for break and daily lunch and close of business. (1.5 hour per day- 7 hours per week and receptionist vacation coverage)
  • Responsible for scheduling/booking hotel rooms for field employees on as as needed basis using Hotel.com website
  • Order and maintain inventory of office supplies by stocking common items, maintaining an inventory and replenishing as needed.
  • Daily oversight of Over kitchen area: purchase, stock/refill snacks, coffee station, with cream and other items.
  • Coordinate with Yard crew to bring water and soda to lunchroom refrigerator.
  • Unload dish washer and maintain the upkeep of the kitchen.
  • Daily oversight of the conference rooms maintain and keep tidy after meeting and as needed
  • Maintain the online CoCo Store and attic inventory
  • Fill COCO point orders 10 - 15 per week
  • Maintain COCO point tracking system
  • Log in Gift Card into tracking system ($30K annual volume)
  • Assist with outgoing mail, as needed daily by receptionist
  • Distribute packages that are delivered to front desk.
  • Orders Business Cards and other Printed materials as needed.
  • Coordinate the annual Overaa Calendar for printing
  • Fun Committee Chair - Organize potlucks, chili cook off, treats for the field, spirit days.
  • Wellness Committee - Actively participate and provide administrative support to this effort.
  • Overaa Cares - Actively participate and be the point person for Anniversaries, Birthdays, and other employee life milestones, which include cards, flower and awards
  • Recruiting Support - Can act as a backup for recruiting events and support when more manpower is needed.
  • Assist with off -site BBQ’s
  • Notary - Needs to get/be a notary
  • Assist with payroll stuffer for various occasions (example recent- Thanksgiving gift)
  • Coordinate with Project start up team and purchase furniture and office supplies (to specs) for jobsite trailers.
  • Help set up for meetings (OCI or other training, etc.)
  • Collect, Edit, and maintain Training Rosters for the Training Refund Program
  • Track and maintain Vehicle policy acknowledgements.
  • Request/or cancel DMV pull reports for all applicable employees (new and terminated) and maintain information binder.
  • Assist with the new employee on-boarding as requested by HR Generalist
  • Prepare employee recognition certificates for Monthly PM meeting.
  • Prepare employee recognition certificates for quarterly field recognitions.
  • Coordinate year-end service awards for annual anniversaries.
  • Assist with college recruiting events by compiling materials and give away, order food for on campus event.
  • Send out training invitations and make reminder phone calls to participants as needed.
  • Compile materials needed for training and assist with room set-up.
  • Assist with special events (company picnic, OCI meetings, fundraisers, flu shots, etc.)
  • Perform other duties as asked or assigned.
  • Assist with the logging of resumes into Applicant Tracking database. Sends acknowledgements to applicants within 48 hours.
  • Assist the marketing department with Social Media posts and the HUB.

Projects and Other

  • Performs unplanned or special projects as recommended by the management team or Director, Human Resources.
  • Recommends new approaches for continuous improvement of department practices and policies, such as simplifying or enhancing forms and processes.

MINIMUM QUALIFICATIONS (minimum requirements before going into job)

  • Proficiency in Microsoft Office applications.
  • Interest in Human Resources as a career path
  • Experience/interest in event management
  • BA/BS preferred
  • PHR recommended not required
