EXECUTIVE ASSISTANT Are you ready to be the driving force behind a visionary leader in the automotive industry? We're seeking an exceptional, detail-oriented Executive Assistant to support the President of P.J. Wallbank Springs, Inc, Chris Wallbank. This role requires a proactive self-starter who loves organization, communication, and problem-solving, with a keen ability to anticipate needs and drive results. It’s important that the Executive Assistant builds trust with our President, is passionate about helping other people, embraces change, juggles competing priorities, and is excited to push work to completion asking questions along the way to find clarity. This person is tenacious, enabling, and discerning.

What You Will Do
Alongside our President, you’ll be a key driver in enabling our vision and growth plans.
Executive Support
  • Support the President's productivity through effective time management. This is more than just managing calendar requests. It means being proactive about calendar commitments by reflecting on how time is spent and adjusting accordingly to make sure our President is focused on key priorities
  • Anticipates challenges and helps solve problems such as calendar conflicts, rescheduling needs, or last-minute requests or changes
  • Various administrative tasks as needed
Communication Hub
  • Manage calendar and email with precision and foresight
  • Coordinate meetings and events, including material preparation
  • Improve communication flows and suggest process enhancements
  • A conduit for enabling strong communications across the leadership team
Task Management
  • Oversee and optimize the President's task management system
  • Execute tasks promptly and follow up on critical items daily
  • Lead special projects and initiatives as assigned
What You Will Bring To This Role
  • Proven experience as an Executive Assistant (or related role) in a fast-paced business environment
  • Demonstrated expertise in task management systems and productivity tools (Trello, Todoist, MS To Do, etc)
  • Exceptional written and verbal communication skills
  • Strong problem-solving abilities and attention to detail
  • Proactive mindset with a talent for anticipating needs
  • Ability to handle confidential information with discretion
  • Adaptable and quick learner, eager to understand the business and industry

  • Respond to emails within 12 hours (24 hours maximum)
  • Schedule or adjust appointments within 12 hours (24 hours maximum)
  • Consistently meet deadlines and manage multiple priorities effectively
  • Receive positive feedback from the President and team members on communication and task management
