Working in the Research and Archives (R&A) department, the Archives Associate reports directly to the Manager, Archives, and is responsible for the organization, preservation, and facilitation of access to Pace Gallery's archival collections while supporting and providing a high-level of research assistance to our internal stakeholders and external audiences. Testament to the Gallery's heritage, the archives collection spans over 60 years of print and digital materials related to the business operations of the Gallery, its innovations, and contributions to the history of art. The Archives Associate role requires a strong commitment to the ethical stewardship of the Gallery's records. Maintaining high standards of practice, the Archives Associate will assist in building collections by implementing best practices in processing, rehousing, and capturing data with meticulous attention to detail. Working under the Manager's direction, this role will maintain day-to-day duties within the Archives unit and contribute to the overall function of the Research and Archives team, allocating a small portion of time within the Gallery library.
What You'll Be Doing:
  • Process archival collections in all formats following national standards, including rehousing, arranging, and describing materials with consistent application of DACS-compliant description, archival theory, and local documentation
  • Serve on a department reference desk, providing careful, detailed, and evidence-based research to support the Gallery's departments and initiatives. Contribute to larger department projects as needed
  • Digitize archival materials from various collections including manuscripts, photographs, books, and other items
  • Assist in maintaining artist legacy documents and chronologies and upload them to the Gallery's website according to a timed schedule
  • Collaborate interdepartmentally to promote archives across Gallery platforms
  • Track and compile statistical information on research requests, organizing collection materials and other assigned projects
  • Oversee the work of interns and volunteers as needed in collaboration with the Manager.
  • Keep up to date with current archival practices and related topics in the field
  • The position requires working in an office environment located within a warehouse with a few physical discomforts such as dirt, dust, mold, noise, and the like. Employee must be able to move boxes of 25 or more pounds and climb ladders as necessary in normal duties. The physical demands described here are representative of those that must be met to successfully perform the essential functions of this job.

RequirementsWhat You'll Bring:
  • Graduate degree in library science or related field from ALA-accredited institution, including archival coursework.
  • 2 years of experience working for an archive, preferably in a museum, gallery, or other arts organization with a focus on modern and contemporary art
  • Knowledge of the principles of archival functions, applied to survey, arrangement, description, preservation of collections containing mixed formats while creating DACS-compliant finding aids to support discovery and research
  • Proficiency in applying cataloging standards as they refer to the arrangement and describing archival materials such as Dublin Core, RDA, CDWA, Library of Congress Vocabularies and Getty Vocabularies.
  • Experience performing digitization and applying cataloging standards to digital materials
  • Experience providing high-quality research assistance to stakeholders and external researchers
  • Familiarity with searching and cataloging in content management systems; using Windows software including Excel, Word, and Outlook, and other software such as Trello or Asana, to manage specific archival projects and report on archival statistics.
  • Excellent written, verbal, and interpersonal communication
  • Meticulous attention to detail and practical problem-solving skills with proven ability to work independently and as part of a team
  • Proficiency in project management with ability to adapt to shifting priorities, addressing multiple work processes and projects simultaneously
  • High-level of discretion and professionalism when working with confidential materials
  • Ability to execute deadlines independently and set priorities to complete projects in a timely manner
