Pacific Coast Community Services: Federal Protective Services (FPS) Contract

Position Title: Receptionist/Payroll/Personnel Support

Reports to: Chief Administrative Officer
Work Type: In-person office work required at the Federal Building in San Francisco
Classification: Regular, Full-Time* or Part-Time**, On-Call Backup

General Information.

•Tasks are performed within Federal facilities.•Background checks ARE required for this position.•Position works under general supervision of FPS Regional Director.

Specific Tasks. Specific Tasks Include:

1.Answers Phone, escorts visitors & monitors door

2.Performs routine budget and payroll functions.

3.Performs routine associated support and clerical duties.

4.Performs data entry, data processing, data verifying, tracking of documents andinformation.

5.Processes purchase requisitions: tracking, processing, follow up, obligationdocumentation, documentation of receipt of goods and services.

6.Maintains manual files, computerized files, books and manuals.

7.Reviews Documents for accuracy of transaction coding and classification.

7.Prepares memorandums, letters, forms and other documents.

8.Coordinates work with customers (other Government Agencies), contracting officersand payment offices.

Experience Requirements:

1.Use of computer – journeymen or better computer skills.

2.Able to learn Government Payroll and Personnel Computer Software

3.Use of agency specific non-standard computer software and systems.

4.Prefer familiarity with government regulations.

5.Good skills in common computer software applications; Word, Excel, e-mail.Including independently creating simple Excel spreadsheets for supplies inventorytracking and mail tracking.

6.Skilled in common office equipment; FAX, copier, scanner, printers, shredders.

7.Good communication skills; committed to cross training; organized for the team.

Qualifications:

Engaging with PCCS staff and client agency by establishing trusting, collaborative relationships directed toward the goal of successful business outcomes for our customers.

–Strong computer skills in a Microsoft Windows environment including Word,Excel, email and Internet navigation required. Experience managing web-basedtime and attendance and staff training and development system is stronglypreferred. While this position is on-site only, we are a remote business and operatefluently in a virtual environment.

–Ability to maintain a high level of confidentiality, a professional demeanor andto always represent the organization in a positive manner to both our staff and toour many customers.

–Must demonstrate acceptable level of maturity, good judgment, and emotionalstability.

–Completes written progress notes and other formal communications skillfully,professionally, and timely. Prepares professional level correspondence togovernmental agencies.

–Adaptability—adapts to changes in the work environment, manages competingdemands and is able to deal with frequent change, delays or unexpected events.

–Dependability—is consistently at work and on time, follows instructions, respondsto management direction, and solicits feedback to improve performance.

–Safety and security—actively promotes and personally observes safety and security procedures and uses equipment and materials properly. –Must be a dynamic self-starter with demonstrated ability to work independently.

Physical, Environmental and Mental Requirements: (Accommodations are available as appropriate.)

–Physical: Occasionally required to push/pull objects up to 50 lbs., and to lift/carryobjects up to 25 lbs. Frequently required to perform moderately difficultmanipulative tasks such as typing, writing, etc. Must be able to walk, stand, sit forextended periods.

–Sensory: Frequently required to read documents, written reports, and plans. Mustbe able to distinguish normal sounds with some background noise, as in answeringthe phone, interacting with customers and staff, etc. Must be able to speak clearlyand understand/be understood using the English language.

–Cognitive: Frequently required to concentrate on moderate detail with constantinterruption. Must be able to attend to a task/function for 20-45 minutes at a time.Frequently required to understand and relate to specific ideas, several at a time.Must be able to remember multiple tasks or assignments given to self and othersover a period of several days.

–Environmental Conditions: Frequent exposure to varied office environments.Occasional exposure to dust and loud noises.

–Equipment: Frequently required to use a computer, phone, and fax machine.

Special Requirements:

–Must be able to receive a favorable Federal background check.

Qualifications: Are appropriate to the specific assignment requirements. Prior experience working in a governmental setting is preferred.

Proficient knowledge of MS Office, outstanding communication and interpersonal skills, excellent organizational and problem-solving skills.

High school diploma with 5 plus years’ experience. Two plus years of college are preferred; military experience is an acceptable substitute for college. Veterans are encouraged to apply.

Job Types: Full-time, Part-time, Temporary

Pay: $25.00 - $35.00 per hour

Expected hours: 15 – 35 per week

Schedule:
