OVERVIEW

Pacific Primary is a nonprofit preschool located in the Western Addition neighborhood of San Francisco. Founded in 1974, the core values remain fundamental to the school today: respect for the whole child, diversity, community, phenomenal staff, and the creative arts. The school believes that it is building a foundation for socially responsible children by focusing on the whole child, fostering a strong, diverse community, supporting working parents and outstanding staff, and providing a dynamic curriculum. Pacific Primary comprises two sites, with a staff of 50 and a student enrollment of 155. Pacific Primary is looking to hire an experienced Finance and Operations Director to join the team of dedicated educators and administrative staff full-time.

THE OPPORTUNITY

The Finance and Operations Director at Pacific Primary oversees all financial and fiscal management aspects of the school's program and operations. They provide leadership and coordination in the areas of accounting, budgeting, and overall business efforts. In addition to finance and operations, this role also involves managing and overseeing human resources (excluding grievances), supporting the school's board, coordinating with Site Supervisors for facilities support, and building strong relationships with the Pacific Primary community. This position offers a collaborative work environment, reports to the Executive Director, supervises the Administrative and Enrollment Director, and collaborates with the school's Board of Directors.

KEY RESPONSIBILITIES

Financial Management

  • Run the annual budgeting process with the Executive Director and Board Treasurer.
  • Provide accurate and timely financial reports; communicate financial statements clearly; oversee financial, fundraising, and grant accounting. Manage organizational cash flow and forecasting.
  • Regularly monitor and report on school investments with Board oversight ensuring goals are met as outlined in the school investment policy.
  • Manage the school’s tuition invoicing and collection process; ensure that tuition payment schedules are adhered to, and the school has a steady cash flow.
  • Manage and coordinate the school’s tuition assistance program.
  • Manage Department of Early Childhood (DEC) city funding, including compliance, reporting, eligible family enrollments, and serving as the primary financial liaison and point of contact for monitoring visits.
  • Lead the annual audit process, including the completion of the 990 form. Liaise with external auditors and the finance committee of the Board of Directors to assess any necessary changes.
  • Primary point of contact for the school's mortgage and banking provider. Ensure all annual lending requirements are met as outlined in the school’s tax-exempt loan agreement.

Human Resources

  • Administer semi-monthly (exempt staff) and bi-weekly (non-exempt staff) payroll cycles and reconcile payroll and benefits.
  • Support the hiring process by preparing employment agreements. Oversee employee onboarding and offboarding, including educating employees on school policies and procedures and ensuring each employee has required paperwork.
  • The primary point of contact for any inquiries received from the Employment Development Dept, employment verification, unemployment claims, etc.
  • Provide new hire quotes, and manage ongoing and open enrollment periods for the school’s medical, dental, supplemental, and life insurance programs; act as the primary point of contact for various insurance brokers.
  • Manage the school’s 401K safe harbor program and ensure annual required filings are made accurately and on time.
  • Process worker’s compensation and general insurance claims; primary point of contact for insurance providers.
  • Track paid time off and sick time off. Administer all leaves, including communicating with employees, providing required paperwork, and updating payroll records accordingly.
  • Provide staff support related to HR issues and questions (unrelated to grievances).

Operations/Facilities

  • Directly manage facilities support with Site Supervisors and Directors.

QUALIFICATIONS

  • Minimum five years of experience in finance and/or accounting in a role with broad responsibilities and nonprofit management experience.
  • Strong fiscal management and reporting skills, including budget and financial statement preparation, cash flow projections, and strategic planning expertise.
  • People-management experience.
  • Ability to exercise professional judgment in problem-solving, use discretion, and maintain confidentiality. Organized and able to work independently, prioritize efficiently, and manage interruptions and time effectively. WORK SCHEDULE AND BENEFITS

This full-time, exempt position runs for 12 months every year. It includes generous paid time off and holiday/school breaks as outlined in the personnel policies. The benefits include Medical, Dental, Vision, 401k retirement, professional development, and child enrollment at the school (subject to application deadlines).

COMPENSATION

Pacific Primary offers a competitive salary ranging from $135,000-$165,000.
