Job Summary:
We are a local non profit seeking a detail-oriented Executive Assistant and Outdoor Program Coordinator to join our team. The Program Coordinator will be responsible for assisting in the planning, coordination, and execution of various beach and outdoor programs and events. This role requires strong organizational skills and the ability to manage multiple tasks efficiently. All program days are spent at the beach so you must be comfortable working at the beach, and with children.
This is a fully remote position so you must have a laptop and organized working space.
Duties:
- Coordinate program logistics, including scheduling, venue arrangements, and participant communications
- Assist in developing program materials such as agendas, presentations, and reports
- Manage program budgets and track expenses
- Provide administrative support to program staff, including data entry, filing, and document preparation
- Assist in organizing and executing events, workshops, and meetings
- Handle inquiries from program participants and provide excellent customer service
- Collaborate with team members to ensure program objectives are met
- Manage CEO calendar
- Schedule meetings for CEO and prepare necessary items
- Organize storage
- Drive participant vans and Cargo vans for programs and events
- Manage Social Media
- Content creation and design
- Website updates
- Manage volunteers and volunteer data base
- Event planning and execution
- Managing non profit admin tasks

- All other duties as assignd
Experience:
- Previous experience in non profit (strongly desired)
- Previous experience as an executive Assistant (strongly desired but will train the right person)
- Proficiency in calendar management and event planning
- Active and fit (must be able to lift 35 pounds)
- Driving experience (must have experience driving Uhauls, cargo vans and passenger vans)
- Strong data entry skills with attention to detail
- Experience with proofreading documents for accuracy
- Familiarity with DocuSign or similar electronic signature platforms
- Knowledge of Wix, Canva, Photoshop
- Experience with content creation and social media platforms (tiktok, facebook, Instagram, linkedin)
- Excellent customer service skills with the ability to interact professionally with diverse groups
