Job Description

PAINTech is looking for a dynamic, bilingual individual to join our family as a Sales and Office Administrator. In[EP1] this role, you will play a crucial role in ensuring the smooth and efficient operation of the office environment and support our Sales and Operations teams. You will be responsible for managing administrative tasks, supporting staff and facilitating communication within the organization. The ideal candidate will be a great multitasker and problem solver, as well as self-motivated and trustworthy.

Key Responsibilities

Office Administration:

  • Greet and tends to guests
  • Facilitates and distributes all outgoing and incoming mail and package
  • Schedule appointments, meetings, conferences and coordinate logistical details.
  • Prepare documents, reports, presentations, agendas and other materials as needed.
  • Ensures employees receive the necessary items on their first day of employment.
  • Assist General Manager with small projects and tasks.
  • Works with other departments to complete special projects or tasks.
  • Liasson for insurance issues.
  • Orders weekly lunches for office staff.
  • Organizing birthday celebrations (such as picking up cakes, decorations, and more)

Facility Administration:

  • Organizes janitorial/maintenance as needed.
  • Purchasing of office supplies
  • Schedules repairs and maintenance as needed.
  • Oversee office supply inventory and reordering as necessary.
  • Keep track of certification and inspection to guarantee everything is up to code.

Accounting Support:

  • Assist with expense tracking.
  • Help processing and tracking some invoicing, reimbursements, and other financial transactions.
  • Maintain record of expenditures and reconcile accounts as needed.
  • Scanning and filing receipts and invoices.

Human Resources Support:

  • Assist with receiving applications and new hire paperwork.
  • Answers questions and help employees/applicants as needed.
  • Assist HR with onboarding of employees in Southeast Division
  • Support HR initiatives such as employee training and development programs.

Qualifications

  • At least two (2) years of Office Administration experience.
  • Bilingual (Spanish) required.
  • High school diploma required; Associates or Bachelors preferred.
  • Proficiency in computer software.
  • Strong attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to prioritize tasks and work both independently and in a group environment.
  • Ability to multitask.
  • Strong time management and organizational skills.

Job Details

  • Full-time, in office. Working hours can be arranged.
  • Occasional overtime required.
  • Benefits provided: Health insurance with company contribution; ability to add Vision and Dental Insurance. 401k with company match. Long Term Disability Insurance. Life Insurance. Accidental Death and Dismemberment Insurance. PTO and six (6) paid holidays.
  • Pay range: $50,000-$60,000 a year
