Palmer Staffing Services is Hiring a Legal Human Resources/Office Manager Near Washington, DC

A D.C. Law Firm is seeking a Legal Human Resources/Office Manager to join their team. This position will report to the Firm Administrator.Fully in office role supporting 35 people. Must be detail oriented and able to multi-task.

Status: Direct Hire, In office

Salary: Up to $100K DOE

Duties and Responsibilities:

Human Resources

  • recruit, hire, train and supervise support staff
  • handle all onboarding functions, including assembling paperwork and IT, building access, benefits and payroll setup
  • cancel benefits and provide Cobra and 401(K) separation notices, if applicable, for terminated employees
  • address and document personnel issues and actions
  • review and approve leave requests and track attendance
  • arrange for adequate coverage and distribution of workload, including preparation of monthly lunch calendar for phone coverage
  • review timesheets for non-exempt employees and submit earnings and 401(K) calculations into the payroll and 401(K) portals
  • administer 401(K) plan, including review of annual compliance and Safe Harbor matching contribution reports, distribution of required notices throughout the year, handling of plan amendments and completion and filing of the annual 401(K) Form 5500 with the IRS
  • coordinate annual renewal and open enrollments in connection with employee benefit policies
  • prepare and compile information for annual workers compensation audit
  • conduct annual salary reviews and bonus determinations
  • develop, implement and monitor compliance with office policies and procedures

Office Operations

  • handle and coordinate the purchasing, leasing, maintenance and support of all office, telephone, and computer equipment
  • track and monitor supply, equipment and other inventory
  • coordinate and negotiate with outside vendors
  • serve as direct liaison for all building management, space repairs, and landlord and lease issues
  • coordinate off-site storage needs, including retrievals and pickups of new offsite storage materials
  • ensure the annual renewal of general, workers comp and professional liability insurance policies and provide appropriate notices of possible claims throughout the year as needed
  • arrange and coordinate inter-office moves and space renovation projects
  • oversee functions of outside IT vendor, including periodic server, workstation and intake and case management software upgrades
  • review incoming helpdesk support tickets to troubleshoot if problem can be resolved quickly
  • organize all office functions

Intake/Case Tracking and Monitoring

  • review inbound web chats and inquiries to determine if immediate action is needed and ensure potential hot cases are acted upon expeditiously
  • research and run reports in the case management, intake and accounting software applications to respond to inquiries
  • prepare monthly intake and settled cases report for the National Office
  • prepare monthly closed case report and verify decline letters were uploaded, if applicable
  • close cases in the accounting system on a monthly basis
  • review and monitor monthly SOL report
  • prepare semi-monthly active case report for placement in copy rooms

Case Costs Tracking and Monitoring

  • prepare monthly write-off report and process write offs in the accounting system
  • close cases in case management and accounting software applications, including the closure of trust accounts, if applicable
  • monitor and generate monthly capitalized case cost reports
  • generate bi-monthly/monthly client soft cost reports through Equitrac (bi-monthly) and Stamps.com (monthly) in enter in the accounting system
  • prepare monthly sales and use tax report, enter into the accounts payable system and file/pay quarterly with the DC Office of Tax and Revenue

Job Requirements:

  • 3 plus years Law Firm HR experience
  • Sales and Use tax experience preferred
  • Must be able to multi-task.
