Pamlico Animal Hospital is Hiring a Veterinary Receptionist Near Washington, NC

POSITION OVERVIEW

The receptionist is the face of the practice. They are the client’s first point of contact when calling or visiting the practice and as such represents the professional image of the practice to callers and visitors. As a receptionist, you play a crucial role in ensuring the clients and their pets receive quality care at all times. Our ideal candidate has the ability to multi-task in a fast-paced environment, attention to detail, strong communication skills, and able to diffuse negative client situations.

POSITION/PERSONAL REQUIREMENTS

  • High school diploma or equivalent.
  • Reliable transportation
  • Customer Service background strongly desirable but not required.
  • Typing skills
  • Computer knowledge; comfortable with Word, keyboarding, and use of communication tools such as Instant Messenger and email.
  • Previous experience in a veterinary hospital is preferred but not required.

The receptionist must be able to:

  • Be flexible in attitude and work habits
  • Be flexible in schedule, including weekends and holidays
  • Perform basic computer skills, type 30 words per minute
  • Lift up to 25lbs
  • Sit/stand for long periods of time
  • Work well independently and in a team
  • Understand that this is a very fast-paced, stressful environment at times
  • Understand working conditions: Exposure to unpleasant odors, noises and animal feces highly likely. May be exposed to bites, scratches and potentially contagious diseases.

PERFORMANCE EXPECTATIONS

  • Greet incoming clients and pets.
  • Can bond with clients during interactions.
  • Maintains a professional/welcoming appearance of the front office through cleaning and organization.
  • Can keep the front desk a positive area even in the event there is a client wait time.
  • Can answer client’s inquiries about basic animal care questions and routine procedures.
  • Check in/Check out appointments.
  • Admits patients and handle medical records entries accurately.
  • Can enter and update client/patient information into practice computer software.
  • Can prepare client invoices and process client payments.
  • Accurately handles payment transactions.
  • Accurately and empathetically communicates estimates/treatment plans to clients.
  • Can outline costs and fees in a positive light while supporting hospital payment policies.
  • Receives and relays phone, fax and email messages accurately and promptly.
  • Receives incoming calls using a multi-line system.
  • Handles calls efficiently and in a friendly manner.
  • Quickly learns products/prevention, procedures, policies, and is able to relay these things confidently and accurately to clients.
  • Load clients and patients into exam rooms as needed.
  • Can prepare health certificates, immunization certificates, laboratory requests, and euthanasia certificates.
  • Understands and carries out oral and written directions.
  • Prepares prescriptions and accurately relays medication instructions to clients.
  • Works to maintain appointment scheduling, screening emergencies and prioritizing cases that need to be seen.
  • Has good computer skills and shows accuracy in inputting details.
  • Maintains positive, cooperative relationships with other employees.
  • Displays tact and respect with team members even when busy or hectic.
  • Conducts oneself in a confident and professional manner with clients even when situations are stressful and/or focused on individual tasks.
  • Other duties as assigned.
