General Description

JOIN OUR TEAM AS A RECEPTIONIST - ONE STOP SHOP!
Front desk receptionist with clerical duties and frontline customer service.

Essential Job Functions

  • Acts as an aide to the One Stop Shop Program Manager.
  • Performs reception duties, phone calls, walk-ins, event planning
  • Participates in the work of the program manager such as interviewing office visitors, securing details of specialized information from the visitor, and issuing information regarding the services or operation of the unit.
  • Screens calls and refers callers to appropriate individual and department.
  • Provides information and service to the public as needed.
  • Sets up and maintains files, logs, and related technical information in the prescribed manner.
  • Assembles information for supervisor's use.
  • Enters and retrieves program data for the programs housed at One Stop Shop
  • Maintains records and reports for future review and use.
  • Maintains inventory of equipment and property.
  • Schedules maintenance of equipment.
  • Performs related work as required.
  • Creates and maintains databases of program participants.
  • Works with volunteers to administer program activities which may include loading cars, taking/logging donations, working closely with participants in need of resources, skills, or specific donated goods.
  • Works to digitize databases according to Program Manager needs.
  • Ability to lift approximately 20 pounds.

Knowledge, Skills and Abilities

  • Ability to work independently with minimal supervision.
  • Ability to make minor decisions within departmental policy.
  • Ability to work within safety guidelines and ensure policies and procedures are followed by volunteers, participants, and employees.
  • Knowledge of business English, spelling, and punctuation.
  • Knowledge of rules, regulations, practices, and procedures pertaining to word processing.
  • Knowledge of Microsoft Suite of software; comfortable learning new computer-based programs.
  • Knowledge of Excel and how to format, input, and retrieve data in spreadsheets
  • Ability to type, format, and proof documents.
  • Ability to make logical and technical decisions in the application of word processor functions.

Minimum Requirements

PHYSICAL SKILLS: Ability to communicate effectively using verbal, written, and visual communication skills. Accurate vision for copy typing and proofreading eight or more hours daily. Ability to sit for long periods. Ability to lift approximately 20 pounds.

EDUCATION, TRAINING AND EXPERIENCE: Graduation from an accredited college or university with an Associate degree and two (2) years' experience in responsible secretarial work OR a High School Diploma or equivalency and four (4) years' of experience. Two (2) years' experience working extensively with Microsoft Word 2007 or 2010 and Adobe Acrobat X Pro. Must currently hold or be capable of becoming certified in ServSafe.

In House Employees: This position qualifies for DAP.

LICENSES, CERTIFICATIONS OR REGISTRATIONS: Must possess a valid driver's license.
