Position Description:

The operations coordinator is the client’s first point of contact with the agency and is responsible for making a positive impact and assisting in changing lives of those with substance use disorders. Working in a hybrid role, the operations coordinator supports client admissions while also supporting the management team with daily operations and staffing workflow.

Primary Responsibilities:

• Update client roster, report openings to the County, receive client referrals and schedule admissions
• Conduct client admissions process including reviewing legal consents and county assessments
• Enter client data into electronic health record and Unicare databases
• Send treatment status reports to criminal justice department
• Support admissions team in expediting and streamlining the intake process
• Conduct weekly audits as needed per the Clinical Supervisor
• Support Program Director and Clinical Supervisor with operational tasks to ensure the best use of staffing resources
• Acts as a lead to inspire, promote, and coach staff to embody the vision and mission of the agency
• Examines and provides feedback to Program Director and Clinical Supervisor on how to improve productivity and organization of daily staff schedule and service delivery to clients
• Perform additional duties as assigned by the Program Director

Qualifications:

• Minimum two years’ experience in an administrative role and high school diploma or GED; some college and/or administrative certification preferred
• RADT or CADC certification and experience working with diverse populations; substance use and/or mental health experience preferred
• Must exhibit cultural competence and sensitivity toward mental health clients
• Must exhibit professionalism, punctuality, flexibility, and reliability at-all-times
• Must be comfortable with, and entertain frequent interruptions, with patience and decorum, in a fast paced, intensive, client centered environment
• Excellent organization and time management skills
• Experience with email and Microsoft Word and Excel
• Must obtain CPR/First Aid certification and complete annual required trainings
• Must be able to communicate effectively both verbally and in writing in the language spoken by clients

• Must pass comprehensive background check, reference check, and possess a valid driver license, current auto liability insurance and a clean driving record

The employee frequently is required to stand; climb stairs; walk; use hands to finger, handle, and type and occasionally lift supplies, up to 20 pounds.
