Description
Our business keeps growing and we are adding a new Accounts Receivable Specialist position to our dynamic Finance team. The role requires someone with the ability to balance between maintaining trustful customer relationships and guaranteeing timely payments. The Accounts Receivable Specialist will have a daily business impact by invoicing new sales, keeping the assigned receivables portfolio within DSO and delinquency targets as well as performing a final accounting close for assigned projects/jobs. This is a highly visible position with a potential career growth to Accounts Receivable Manager.
Requirements
· Receivables Portfolio: Perform collection activities on assigned projects/jobs:
· Initiate phone contact and follow-up with customers to collect on open balances
· Resolve customer billing inconsistencies with internal and/or external parties and provide excellent customer service while collecting payments due
· Review weekly assigned accounts with internal project lead/estimator to identify unresolved issues and work with customers to manage the payment process
· Propose and implement effective repayment plans on delinquent accounts
· Oversee and post payments and refunds on assigned customer accounts
· Create and file intent to lien in preparation for Small Claims Court cases (with occasional need to represent the company in small claims court)
· Follow up with insurance providers, mortgage companies or other 3rd parties on project/job payment status
· Work together with PMs and Estimators to achieve Accounts Receivable delinquency and aging targets for assigned portfolio of receivables
· Respond to customer account queries in a timely and professional manner
Projects/Jobs Portfolio: Perform invoicing and closing duties on assigned projects/jobs:
· Invoice and record transactions in General Ledger and operations system (RMS)
· Review and reconcile invoicing and payments when closings assigned jobs
· Perform correcting journal entries and/or internal job costings, if necessary
· Allocate received payments to customer projects/jobs in General Ledger
· Finance Processes and Procedures:
· Document and align procedures with Finance tasks and responsibilities
· Develop and maintain Collection function’s knowledgebase/SOPs
Essential Skills and Work Experience:
· 2 years of hands-on Accounts Receivable or Customer Service experience
· Technologically savvy: Excel & General Ledger (QuickBooks preferred) hands-on skills
· Superb time management and detail orientation skills
· Strong communication and customer service skills, as well as patience and persistence related to collection efforts
