PCH Hotels and Resorts is Hiring a Catering & Sales Administrative Assistant Near Point, AL

As a member of our hospitality team, the primary responsibility of a Catering & Sales Administrative Assistant is to provide efficient administrative support to the Sales department and help streamline operations. This role plays a crucial part in ensuring the smooth operation of the Sales team by handling various administrative and organizational responsibilities. This role manages the appointment calendar for the Sales team, handles incoming calls, screens and directs them to the appropriate personnel, provides information to callers as necessary, and assists in organizing and coordinating meetings and events. This role requires excellent organizational and time management skills, strong attention to detail, effective communication abilities, and proficiency in various software and office tools.

  • Qualify business prospects and diligently track leads to maximize potential.
  • Solicit and secure meetings, conferences, and catered corporate and social events.
  • Finalize catering arrangements, upsell additional services, and optimize client satisfaction.
  • Negotiate contracts and implement marketing strategies to drive sales and increase profitability.
  • Identify customer needs and capitalize on sales opportunities to ensure successful catering events.
  • Communicate all event details effectively to operating departments and clients.
  • Collaborate with catering and convention associates, clients, guests, vendors, and suppliers.
  • Present ideas, expectations, and information in a concise and organized manner to all parties involved.
  • Impose deadlines and delegate tasks effectively to ensure timely completion.
  • Promptly handle and follow up on inquiries, including detailed communication of group requirements to all departments.
  • Maintain accurate file systems, reservation pick-ups, and group projections.
  • Oversee all aspects of meetings and functions, including booking, contracts, Banquet Event Orders (BEOs), Specifications of Events (SOEs), audiovisual arrangements, and food and beverage compositions.
  • Provide on-site support as the main contact for every function.
  • Utilize Marriott sales systems (NGS, PMS, MARSHA) proficiently.
  • Expertly pair food and wine, and design customized menus.
  • Organize and manage suppliers and vendors to ensure seamless event execution.
  • Answer telephones promptly with a friendly greeting, providing necessary information for follow-up.
  • Offer assistance to guests calling or visiting the office, handling leads and inquiries with promptness and courtesy.
  • Maintain comprehensive knowledge of the property to effectively "sell" the Grand Hotel.
