The Opportunity: The Education Operations Coordinator reports to the Regional Executive Director and provides administrative and field operations support for the department, its programs, and its activities. This person also supports education programs, provides operational insight, and outlines operational necessities for education programs. This position includes coordinating daily operations, program evaluation, and creating reports as needed. The position interfaces with the support staff as well as other departments and functions in a highly professional and confidential manner.

The Details: 

Key Deliverables: 

Administrative Support
  • Supports Regional Executive Director with program evaluation through organizing data, creating spreadsheets analyzing metrics, and generating summary reports.
  • Support the Regional Executive Director with scheduling, organizing team meetings, and helping with departmental communications.
  • Coordinate department enrollments and financials.
  • Maintain records of numbers served through programs and generate quarterly program reports for the Regional Executive Director.
  • Provide grant management support, specifically timeline management and report generation.
  • Coordinate Support Team schedule and produce weekly internal updates and communications.
  • Answer student inquiries and act as communication liaison to other departments and partners for scheduling and planning events, promoting educational programs, and putting programming on the calendar
Education Program Support
  • Support the Managing Director in executing all student and programming needs, including preparation of upcoming cohorts.
  • Administer and coordinate student testing if needed.
  • Support participant roster management and attendance records support to education and outreach programs for both partner-led, onsite, and virtual programs.
  • Work across technology platforms to track program attendance, generate program communications, and provide timely information to participants
  • Collaborate with Regional Executive Director to liaison with students and/or partners as necessary.
Other Duties as Assigned
  • Due to team assignments, varying staffing levels, special projects, or other situations, employees may be required to perform duties and responsibilities outside their regular job description. Management reserves the right to assign and re-assign work at its discretion.
  • Performs duties safely and efficiently to maintain a safe work environment. 

Experience and Education Requirements:

  • Experience with administrative operations, tasks, and procedures
  • Experience working with data sets, creating tracking systems
  • Strong computer skills, including proficiency in Google Docs, Slides Sheets, Microsoft PowerPoint, Word, Canva, and Excel, HubSpot, Salesforce, and MailChimp
  • Experience in an educational setting
  • Ability to prioritize tasks and meet deadlines with minimal supervision
  • Ability to think creatively to solve problems on the spot or improve program efficiency.
  • Ability to work with and communicate with a wide range of people including staff, business leaders, vendors, visitors, children, and the public
  • Ability to handle confidential information and potentially controversial topics with sound judgment
  • Ability to work effectively under pressure with frequent interruptions
  • Flexibility, willingness, and ability to learn new tasks and take on new projects
  • Strong interpersonal, oral presentation, and writing skills
  • Professional, positive, and approachable attitude/demeanor
  • Valid Indiana driver’s license
