Salary Range: $87,000.00 - $96,000.00 Salary/year

Description

The Director of Healthcare Operations supervises and provides direction to Center Managers. This position is responsible for leading the administrative and clinical operations for all health centers and for initiating and implementing operational and growth strategies, program development, conformity to standards of operation, and performance improvement initiatives designed to ensure health equity, quality patient care, while maximizing the profitability potential for all PPAZ health services.

GENERAL PRIORITIES

  • In collaboration with the Medical Operations team, develops and monitors annual budget, analyzes and manages their respective budget(s), provides leadership to their division’s management staff to analyze and manage their respective budgets with a dual focus on real-time management and long-term comparison and improvement.
  • Responsible for day-to-day clinical operations of all health centers to include but not limited to: Clinic schedules, staffing levels, compliance, security and safety, patient satisfaction and program cost. 
  • Identifies emerging issues and strategic opportunities for PPAZ and develops new initiatives commensurate with the agency’s strategic plan.
  • Collects, tracks, and reports identified success measures to include but not limited to: patient satisfaction survey data, successful access data, EDI KPI’s and program cost.
  • Ensures proper regulatory financial reporting and remains abreast of necessary rules and regulations in order to maintain compliance.
  • Leads an integrated healthcare service team to ensure high quality medical care and compliance with all state, federal, OSHA, CLIA, and PPFA standards, guidelines and regulations, including required reporting and documentation for patients and staff.
  • Ensures that the PPAZ patient experience is reliably excellent, and establishes the standards, monitoring system, and data distribution effort that will keep customer service at the forefront of our approach to health care.
  • Strategize with health center managers on operational practices (scheduling, patient flow, staffing, orientation and training of staff) for centers, monitor progress, and provide support.
  • Conducts routine health center observations.
  • Assures that obstacles to customer service within the staff's sphere of influence get prioritized and addressed, and the obstacles outside their sphere of influence are brought to the appropriate forum.
  • Works to create systems that allow clinic flow and staff members to function at optimum levels.
  • Works as a vital member of the Medical Management Team (MMT)
  • Supervises Health Center Managers
  • Assists in the development and implementation of an ongoing orientation and training program for health center managers and assistant managers, includes supporting budget management.
  • Provides routine support and monitoring of health center operations including patient volumes, schedules, and cycle times and staffing.
  • Ensures that non-licensed health center staff are trained and in compliance with affiliate and regulatory protocols and requirements.
  • In conjunction with Medical Operations team, develops and provides supplementary training to health center staff when new clinical or practice management procedures are implemented or changes to current services or protocols are introduced
  • Works collaboratively with clinical leadership and trainers to ensures education and training to support the successful implementation of family planning and abortion health center process improvements
  • Participates as a vital member of the RQM and Quality Assurance Committees. Leads monthly health center review of data and audits to ensure compliance with PPFA MS&G, ADHS, CLIA and OSHA regulatory requirements.
  • In collaboration with Sr Director of Health Center Operations facilitates and assists in the reporting, data uploads, site visits, routine audits and reports as needed to ensure compliance with the grants and federal contracts.
  • Oversees the development and revision of the Health Center Operations Manual and other compliance manuals.
  • Maintains a close working knowledge of community matters, center and program operations regarding visits, service and financial trends, quality assurance issues and customer satisfaction. Collaborates with Sr Director of Health Center Operations to conduct on-site gap analysis of operations of health centers and leads health center turn-arounds if needed.
  • Recommends and implements agency strategic and operational work plans in conjunction with the Management Team and other department representatives and resources. Participates in agency-wide task forces and departmental teams.
  • Works with Center Managers, Assistant Managers, Health Center and Call Center staff, internal EMR Specialist and the Finance Dept. to assure smooth and coordinated implementation of database and operational protocol changes, as well as financial accounting procedures at the health centers.
  • In collaboration with the External Affairs Department, Regional and Center Managers, assures effective implementation and maintenance of internal marketing measures, client satisfaction, client access, client retention and outcomes evaluation.

Qualifications


EDUCATION AND/OR EXPERIENCE

  • Bachelor’s Degree or equivalent experience in a related field
  • Minimum of Five years of demonstrated health care operations leadership experience
  • Strong people management skills, including supervision of mid-level managers.
  • Demonstrated ability to work with people of different races, ethnicities, sexual and gender identities and expressions, ages, abilities and experiences.
  • Deep commitment to learning about and enhancing practices related to racial equity and the impact of structural racism on health care systems.
  • Ability to set priorities and organize a variety of concurrent projects, manage time effectively, and follow through reliably.
  • Ability to lead, manage, and learn through stressful situations in a professional manner.
  • Ability to listen and communicate effectively (written and verbally) and present information to all levels of staff, board and stakeholders with diverse backgrounds.
  • Organizational skills and attention to detail is essential.
  • Must be self-starting and independently demonstrate a desire to set and meet objectives, to find a better or more efficient way to do things, and to compete against a self-defined standard of excellence.
  • Excellent computer skills including demonstrated knowledge of Office, including Word, PowerPoint and Excel.
  • Must have the ability to maintain confidentiality of all PPAZ business and activities on and off the job.
