Planned Parenthood Federation of America (PPFA) is a 501(c)(3) charitable organization that supports the independently incorporated Planned Parenthood affiliates operating health centers across the U.S. Planned Parenthood Action Fund is an independent, nonpartisan, not-for-profit membership organization formed as the advocacy and political arm of Planned Parenthood Federation of America. The Action Fund engages in educational, advocacy, and electoral activity, including grassroots organizing, legislative advocacy, and voter education.

Planned Parenthood Federation of America (PPFA) and Planned Parenthood Action Fund (PPAF) seek a dynamic and effective Associate Director, Financial Planning & Analysis. This job reports to the Senior Director, Financial Planning & Analysis in the finance department of PPFA. The mission of the PPFA’s Finance Department is to ensure that PPFA’s financial resources are collected, protected, and distributed in a fiscally responsible manner; to provide financial leadership as well as effective, efficient, and responsive services to PPFA, its affiliates, partners, and donors; and to deliver timely and accurate financial information to enable informed decision making to fulfill PPFA’s mission.

Purpose:

As a key component of the FP&A Center of Excellence, the Associate Director brings strategic insights to the FP&A team by maintaining and improving relevant and technology-based tools needed to operate with maximum efficiency and build strong partnerships. They will strive to build robust tools and the reporting infrastructure needed to guide and facilitate decision making by the Executive Leadership Team and leaders at all levels. Working closely with the Sr. Director of FP&A, the Deputy CFO, and across all Finance and Accounting functions (including Treasury, Grants Management, Accounting, Payroll, Tax and Compliance, and Procurement to Payment), they will be expected to be a critical thinker and eager to innovate, collaborate, and drive change while ensuring compliance with legal requirements and maintaining data and system integrity. 

Delivery:

Organizational Budget Planning and Forecasting

• Support the Finance team in the planning and execution of the formal annual budget and forecast planning processes.

• Help coordinate the budget process with all of PPFA’s operating divisions and its four 501(c3/4) entities to ensure timely delivery, adherence to guidelines and data integrity.

•Develop and provide training, direction & guidance for budget owners and coordinators, in close collaboration with the Program and Grants Financial Management team, to support preparation of their respective departmental budget proposals and annual variance reports.

• Identify, recommend, and execute process improvement initiatives to streamline the overall budget process and workflow.

• Owns and maintains the Workforce Model in our new HRIS tool and conducts insightful headcount and salary expense variance analysis.

• At direction of the Sr. Director of FP&A, oversee the production of visuals and supplemental information for the quarterly Finance Committee and Board members

Financial Data Analysis and Management & Governance Reporting

• As an admin in Adaptive Insights, ensures the tool operates with the most updated dimensions, attributes, hierarchies and versions to facilitate scenario planning and variance analysis.

• Interact with internal and external technical experts to set up and coordinate data integration processes between various applications (Intacct, UKG, Coupa, HRIS tool) and Adaptive Insights, our planning tool.

• Ensure and control access to sensitive financial information through system-wide security controls.

• Train and support budget owners and other stakeholders in using financial reporting tools.

 • Acquires the level of technical and financial knowledge required to become a “super user” in Adaptive capable of building customized reports and control tools. Completes training on the latest product developments with the ability to train staff (“train the trainer”).

• In partnership with finance, IT and, and the grants management teams, continuously enhances PPFA’s internal & external financial reports and tools to provide end-users with transparent, relevant and insightful content.

• Create, run, and maintain monthly financial reports for PPFA and its consolidated entities using Adaptive and Office Connect, including but not limited to Statement of Activities, Balance Sheet, and Statements of Cash Flow for presentation and review by Management and the Board Finance Committees.

• Build driver-based models and forecasts (predictive models and 3 -year projections) in Adaptive and Office Connect and transfer existing offline models to Adaptive.

• Conduct thorough variance analysis by pulling budget and actual detailed data and comparing assumptions.

 • Share relevant insights with Management on the risks and deficiencies that may exist with current planning application and offer recommendations on how to optimize the tool and streamline processes.

• Oversee and ensure team expertise in systems and database maintenance;troubleshooting and support for systems configuration and reporting.

• Identify areas for continuous improvements in terms of productivity, service levels, and customer satisfaction.

Engagement:

• Build relationships and meet regularly with managers and budget coordinators across PPFA to ensure FP&A understands and can support reporting and analytical needs across stakeholders.

• Work closely with finance and program staff across multiple functions in order to identify opportunities to expand and enhance the budgeting and forecasting processes and financial reporting.

• Develop and maintain a network of professional contacts to advance knowledge of non-profit financial issues and to provide top-level financial support as a way of advancing the mission of PPFA.

• Keep abreast of latest industry developments and best practices by participating in advanced training programs and staying informed on technological advancements.

• Provide input including recommended actions to Sr. Director FP&A and other Finance and Accounting leadership to advance FP&A team to become a Center of Excellence

Management: Manages 2 Senior FP&A Analysts, being fully involved in onboarding, training and mentoring in line with PPFA’s guidelines with a focus on building for a Center of Excellence

Knowledge, Skills and Abilities (KSAs):

• Bachelor’s Degree in finance, accounting, or similar field.

• Min of 2-4 years related experience

• Must have strong analytical acumen and possess technical proficiency with various

financial applications (MS Excel, including the use of pivot tables) and budget and

reporting tools.

• Non-profit finance experience is a plus.

• A demonstrated ability to build financial reports and driver-based models, budget templates/reports, and financial analysis tools in Excel including pivot tables.

• Should have excellent financial analysis and reporting skills, experience in FP&A best practices , and using financial systems for process improvement.

• Possess impeccable interpersonal skills, strong work ethic, customer service-centric attitude, and excellent analytical skills with sharp attention to detail. Must be a team player.

• Knowledge of non-profit fiscal management, including fund accounting, grants management, and financial analysis preferred.

• Must have the ability to meet critical deadlines and prioritize effectively.

• Flexibility and ability to adapt to quickly changing priorities and ambiguous situations.

• Knowledge of diverse workgroups, working with a multicultural workforce, and

sensitivity and appreciation to cultural differences are required.

$120,000 - $125,000 a year
