Plumbing is Hiring an Administrative Assistant/Receptionist Near Wauconda, IL

Job Overview:
As an Administrative Assistant / Receptionist at our Plumbing company, you will be the first point of contact for clients, visitors, employees, and our suppliers / vendors. Your primary responsibility will be to ensure a smooth and efficient operation of the front desk area, providing exceptional customer service and administrative support to our Vice President and Office Manager.

Responsibilities:

  • Greet and welcome visitors and clients in a professional and courteous manner.
  • Answer phone calls, take messages, and redirect calls as appropriate.
  • Help gather product quotes from our suppliers and to send those orders out to jobsites.
  • Checking off price accuracy for vendors packing slips from the field and helping enter invoice into QuickBooks.
  • Call out to other vendors and order their products for delivery (Calling Sun Belt Rentals for a Skid Steer for our job at ___).
  • Enter Data of cost sheets into spreadsheets.
  • Assist putting together & record data in each of our jobsite binders (Putting together safety sheets, contracts, product orders, time sheets)
  • Collect & Record Plumbers timesheets into spreadsheet and help with setting up paychecks for Plumbers in field.

Qualifications:

  • Proven experience as a receptionist, front office representative, or similar role is preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other office management software.
  • Excellent communication skills (written and verbal) with the ability to interact professionally with clients and employees.
  • Strong organizational skills with the ability to multitask and prioritize tasks effectively.
  • Attention to detail and problem-solving skills.
  • Knowledge of basic office equipment (e.g., printers, scanners, phone systems).

Requirements:

  • High school diploma or equivalent, additional certification in Office Management or Microsoft Office a plus.
  • Prior experience in the construction / plumbing industry or a similar field is preferred but not required.

Pay: $19.00 - $21.00 per hour
